About the Opportunity
As a Proposal Coordinator , you will be responsible for managing, designing, editing and finalizing business proposals for both private sector and federal government.
Duties and Responsibilities
- Reviewing and searching for bids online
- Tracking and filing all Request for Proposals
- Preparing, responding to and following-up on correspondence
- Reading the Request for Proposal in detail and determining its requirements
- Reviewing and formatting résumés as required from the Partners, and maintaining a database of suitable resources
- Coordinating with the marketing team to identify resources related to proposals
- Compiling, editing, and writing standard proposal components in adherence to requirements; compiling disparate content elements from a distributed group of authors into a cohesive and responsive proposal document
- Effectively communicating with Partners and staff involved, as well as other stakeholders
- Scanning and monitoring standing offer and other procurement vehicles of senior level governments in order to maximize and maintain access for the firm
- Reporting on proposal metrics as required
- Providing support in the preparation of proposal submissions
- Providing Quality Assurance by reviewing all contents of the proposal’s final submission and making suggestions for improvement
- Ensuring a timely delivery of final proposal and tracking its receipt
- Maintaining proposal reference material from past Requests for Proposal
- Reviewing and providing recommendations for continuous improvement of proposal procedures, guidelines and templates
- Work with internal stakeholders and clients to obtain testimonials
Qualifications
- University degree or college diploma in communications or related field
- 2-3 years of relevant proposal experience is required
- Experience working on federal government proposals would be considered an asset
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook); strong MS Word skills is required
- Knowledge of Adobe InDesign would be an asset
- Outstanding organizational skills with meticulous attention to detail
- Strong proofreading skills
- Ability to manage multiple projects and competing deadlines in a fast-paced environment
- Exceptional written and verbal communication skills in English (bilingualism in French would be an asset)
- Ability to work independently and as part of a team
