Title : Payroll Coordinator
Reports To : Payroll Supervisor
Job Purpose : The Payroll Coordinator plays a critical role in ensuring the accuracy, integrity, and efficiency of the organization’s payroll and HRIS operations. Working closely under the guidance of the Manager Payroll & HRIS, this position is responsible for executing and safeguarding all HRIS data transactions that directly support payroll processing and associate information management. The Payroll Coordinator is instrumental in optimizing workflows, enhancing system functionality, and implementing process improvements that strengthen the overall effectiveness of the Payroll and HRIS functions. In addition, this role supports the Finance Department’s commitment to maintaining an approachable, service‑focused presence for all associates by delivering timely, reliable, and professional support.
Key Responsibilities
- Updates, validates, and maintains all Associate information within the organization’s HRIS platforms (UTA and CORE), ensuring every profile is accurate, complete, and fully aligned with current employment status. This includes end‑to‑end processing of all employee lifecycle transactions such as new hires, position changes, promotions, manager updates, pay adjustments, leaves of absence, terminations, and job reclassifications.
- Actively monitors for incomplete, inconsistent, or inaccurate data and takes prompt action to investigate, troubleshoot, and resolve issues. Works to identify root causes, implement corrective steps, and prevent future discrepancies by reinforcing proper data‑entry standards and partnering with relevant teams when necessary, acting as liaison with departments in the maintenance of the HRIS data (IT, HR, Finance, Operations and Manufacturing etc.).
- Responsible for proactively monitoring HRIS system reports and SFTP data feeds to ensure all information is transmitted, received, and processed accurately. This includes reviewing automated file transfers, identifying discrepancies or failed feeds, troubleshooting issues, and escalating concerns as needed to maintain data integrity and uninterrupted workflow.
- Collaborate with Payroll team to assist on pay processing days and provide a level of backup.
- Processes documentation for all Associates in accordance with company policy and procedures.
- Assist the HRIS Specialist in routine work following work instructions.
- Responsible for ensuring confidentiality of data and any associate interactions is maintained.
- Ensures data integrity across systems, proactively identifies discrepancies, and upholds the reliability of all HRIS records that directly support payroll accuracy and compliance.
Education & Experience
