Executive Assistant to CEO

A leading not-for-profit regulatory organization is seeking an Executive Assistant to the Chief Executive Officer (CEO) for a full-time, permanent position starting immediately.

This role offers an exciting opportunity to provide high-level executive and administrative support in a dynamic, professional, and mission-driven environment that values trust, transparency, and collaboration.

The Role

The Executive Assistant to the CEO will provide senior-level administrative support and act as a critical liaison between the CEO, Board of Directors, internal leadership, and external stakeholders.

The ideal candidate is a seasoned, highly organized professional with exceptional communication skills, strong business judgment, and the ability to manage confidential information with discretion. This role requires a proactive approach, strong attention to detail, and the ability to thrive in a fast-paced and sometimes ambiguous environment.

Key Responsibilities

  • Serve as the primary point of contact between the CEO and internal / external stakeholders.
  • Manage calendars, coordinate meetings, and arrange travel and accommodations.
  • Prepare and format communications including memos, emails, reports, and presentations.
  • Support Board and Committee operations including minute-taking, meeting preparation, and follow-up .
  • Manage information flow, ensuring accuracy and confidentiality at all times.
  • Maintain organized filing and document management systems.
  • Anticipate needs and proactively support the CEO in achieving strategic and operational priorities.
  • Post-secondary education in business administration or related field, or equivalent combination of education and experience.
  • Minimum 5–10 years of progressive experience supporting senior executives (C-suite level preferred).
  • Demonstrated experience supporting or working closely with a Board of Directors.
  • Excellent organizational and time management skills, with the ability to manage multiple priorities under pressure.
  • Strong written and verbal communication abilities, with attention to accuracy and tone.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Proven ability to exercise discretion, sound judgment, and diplomacy.
  • Experience in a regulatory, government, or not-for-profit environment is an asset.
  • Project coordination and document management experience are considered strong assets.

  • Hybrid work model (typically one day per week in office; flexibility based on business needs).
  • Competitive salary : $65,000 – $85,000 (commensurate with experience).
