About the role
SIEL Human Solutions, on behalf of our client, is seeking a permanent, full-time Office Coordinator to join a not-for-profit organization in Saskatoon, Saskatchewan.
The Office Coordinator ensures the smooth daily operations of a community-focused not-for-profit by managing front-desk services, administrative systems, and client interactions using a trauma-informed approach. They maintain accurate client records, coordinate appointments and meetings, support basic IT and communications tasks, and organize events and board logistics to enable effective program delivery. As a welcoming first point of contact, the Office Coordinator fosters a safe, inclusive, and respectful environment while supporting staff, volunteers, and leadership to maximize community impact.
What youll do
Youll be the warm, welcoming face of our space—greeting clients, families, and visitors with genuine care and keeping our appointment schedule running smoothly. From inquiries and confirmations to cancellations and rebooking, youll help ensure everyone gets where they need to be.
Behind the scenes, youll keep our client management system in top shape by updating records, managing booking packages, flagging important information for the team, and processing occasional payments with accuracy and security. Youll help keep the office organized and inviting, support client concerns, and coordinate meeting logistics such as room bookings, agendas, and notes. Youll manage document and filing systems (digital and paper), track supplies, process mail, run small errands, and support onboarding by helping new staff set up their workspace and technology.
Youll also be the go-to person for basic tech and equipment troubleshooting, managing Office 365 licenses, and maintaining communication and equipment systems (e.g., voicemail and phone trees). Youll support communications efforts by creating simple promotional materials using branded templates and assisting with website updates and social media posts as needed. Event coordination is part of the role as well—youll help organize internal events, support the Annual Report process, and ensure board and committee meetings run smoothly with well-organized SharePoint documentation.
From preparing briefs and summaries to participating in safety drills as the OH&S Committee contact, youll help keep the organization organized, connected, and running efficiently.
What you bring
You have an administration diploma (or equivalent) and at least five years of hands-on office administration experience; experience in the not-for-profit or social services sector is a strong asset. You genuinely enjoy connecting with people and naturally create a warm, welcoming, and professional experience for everyone who walks through the door.
Youre confident using Microsoft Office 365, including Outlook, Word, Excel, SharePoint, and Teams, and you can handle basic tech troubleshooting with ease. Youre comfortable navigating client management systems, and experience with simple design tools such as Canva is an asset. You communicate clearly and professionally, stay organized under pressure, and manage multiple priorities with calm, steady focus. You use sound judgment, handle confidential information with care, and work effectively both independently and as part of a team.
A valid Criminal Record Check with Vulnerable Sector Search is required for this role.
