HUMAN RESOURCES ASSISTANT
(TEMPORARY FULL TIME)
The Wellington Health Care Alliance (WHCA) is currently accepting applications fora temporary full time Human Resources Assistantto join our Human Resources team reporting to the CHRO.
The Wellington Health Care Alliance (WHCA) is comprised of two corporations with more than 1,000 staff, including physicians and volunteers, operating three vibrant acute care hospital sites : Groves Memorial Community Hospital (Fergus), and North Wellington Health Care (Louise Marshall Hospital in Mount Forest & Palmerston and District Hospital in Palmerston). The homesite for this position will be Groves Memorial Community Hospital.
Hours of Work : 37.5 hours per week (Monday - Friday, daytime hours)
Salary Range : $30.62 - $35.82 per hour
POSITION SUMMARY :
The Human Resources Assistant is a key member of the Human Resources team, with a primary focus on supporting the recruitment process and processing employee documentation. This role assists with recruitment-related activities and is responsible for payroll entry and modifications, benefits enrollment, employee education activities, and the accurate maintenance of employee records. The Human Resources Assistant also provides administrative support as needed to ensure efficient HR operations.
SUMMARY OF KEY RESPONSIBILITIES :
General HR Administration and Customer Service :
- Greet all visitors to HR department, answer questions and direct them to the appropriate staff member for assistance
- Administration of the HR general email inbox
- Prepare Confirmation of Employment Letters and Confirmation of Hours Letters
- Assist with the coordination of HR activities and events (i.e. Volunteer Appreciation, Long Term Service)
- Support volunteer service coordinators, as needed
- Assist in the facilitation of the General Orientation program
- Create and maintain electronic employee and job files
- Provide support to HR Department, including Agendas, Minutes, Learning Packages, Communication Activities etc. as assigned by the CHRO
- Assist with the coordination of documentation related to students, including Nursing and Co-op students
- Provide administrative support to the Occupational Health department for Return to Work andBenefit Coordination as needed
- Other Human Resources activities as assigned
Administration of Recruitment Activities :
Work with the HR Business Partners / Human Resources Coordinator on recruitment activities consistent with HR policies and proceduresPrepare and provide offer letters and new hire packages to successful candidates as neededAssist with the coordination of successful candidates in the completion of onboarding documentation, and work with internal partners to complete the onboarding processRun regular reports as set out in our Collective Agreements, including : Staffing, Agency Use, Hours Worked, Seniority reports and other reports as requiredPayroll and Benefits :
Entry of new employee data and submission of employee change forms to payroll for processingAssist with report generation and creation as required by the Collective Agreements, as well as the Human Resources DepartmentAdminister employee benefits enrollment, including new hires, employee changes, and life events, while ensuring accuracy and compliance with plan requirements.QUALIFICATIONS :
An undergraduate degree in Human Resources, or related field / post-graduate education in Human ResourcesStrong technical skills and experience utilizing Microsoft Office Excel Spreadsheets, Outlook, Word and PowerPointGreat attention to detail and ability to manage multiplepriorities / projects while meeting deadlinesExceptional verbal and written communication skillsExcellent organizational and time management skillsHave an understanding that recruitment is a patient safety issueSatisfactory performance and attendance requiredSatisfactory Reference Checks required prior to start dateMust provide a Police Vulnerable Sector CheckMust complete a Pre-Employment Health Assessment prior to being hiredYOU WOULD STAND OUT IF YOU :
Have your CHRP (Certified Human Resources Professional) designationHave experience with Human Resources Information SystemsAre passionate about customer serviceTravel will be required to our sites at Groves Memorial Community Hospital, Palmerston & District Hospital and Louise Marshall Hospital, so a valid drivers license and reliable vehicle is required.
