Regional Operations Coordinator

Remote work arrangement. Required to work Atlantic Time.

As a Regional Operations Coordinator you will be responsible for supporting business service functions and operations within a designated region and / or province, to help ensure coordination between national and regional teams. Reporting to the Regional Manager, the Regional Operations Coordinator supports operational requirements that enable operational efficiency and strategic initiatives. This role works together with the Regional Manager to help facilitate true partnership with Provincial Commissioners, senior volunteers, and other staff to enhance service delivery, strengthen council operations, and foster a collaborative and high-performance culture that supports members.

In This Role You Will

Council Support

  • Coordinate logistics and provide administrative support for Provincial Council meetings, including scheduling, minute taking, and document preparation.
  • Maintain up-to-date Council guidelines and processes to support consistent operations.
  • Support new Council member recruitment and onboarding, including candidate slates, election coordination, orientation, and annual renewals.
  • Manage Provincial Council communications, including shared inboxes, targeted email distribution, and volunteer inquiries.
  • Maintain and update the provincial website.
  • Manage production and distribution of Provincial, Area and District crests.
  • Provide coordination support for provincial projects and initiatives.
  • Attend occasional in-person meetings and / or events as required.

Membership Administration and Volunteer Management

  • Ensure accurate member records and database integrity; generate membership reports, as required.
  • Support provincial level members (e.g. Link and Trefoil Guild).
  • Coordinate and execute member communications, including newsletters and targeted outreach.
  • Respond to member and volunteer inquiries, providing direct support or connecting them to appropriate teams.
  • Coordinate volunteer reward and recognition initiatives, including awards, awards ceremonies, Area dinners.
  • Program Delivery

  • Coordination of administrative trainings (e.g. DC, ACL, Training of Trainers, etc.).
  • Assist in the creation and delivery of provincial challenges.
  • Fulfill crest requests for Provincial, Area and District.
  • Financial Management and Fund Development

  • Support finance operations including document retention, accounts payable / receivable, bank reconciliation, and GL maintenance.
  • Manage provincial surplus of cookies.
  • Support the preparation and submission of community grant applications.
  • Assist with budget development, tracking, and intercompany transfers.
  • General

  • Adhere to all relevant policies, procedures, and practices.
  • Liaise with other departments as required.
  • Provide general, ongoing support to members / volunteers, responding to / directing inquiries and consulting with the appropriate groups and individuals to support the mission and vision of GGC.

  • You Are The Ideal Candidate If You Have

    Education, Designations and Certifications

  • Degree or diploma in business administration, nonprofit administration, public administration, or related discipline (or equivalent experience) considered an asset.
  • Prior Work Experience

  • Minimum 3 years of experience in administration and operations, or a related field.
  • Volunteer management and / or nonprofit administration is considered an asset.
  • Proven experience supporting budget development, accounts payable and accounts receivable functions.
  • Experience engaging and supporting volunteers is considered an asset.

  • Organization and administration – strong organizational skills with the ability to manage multiple priorities and coordinate complex administrative tasks.
  • Problem-solving – able to assess challenges, make data‑driven decisions, and implement practical solutions that align with organizational goals.
  • Partnership development & stakeholder engagement – builds trust‑based relationships and collaborates effectively with stakeholders to support shared goals.
  • Financial & resource management – basic understanding of budgeting principles.
  • Communication & collaboration – strong verbal and written communication skills; engages respectfully and effectively with diverse stakeholders.
  • Operational excellence – supports the process optimization, implementation of best practices, and alignment with organizational standards.
