Our customer is renowned for its safety products. It offers a friendly and dynamic environment to all its employees. They are currently looking for an Administrative Assistant to join their operations team.

The Administrative Assistant will be responsible for supporting the Service Coordinators in the Operations Division. As a key resource, this position will provide administrative support to the department effectively and efficiently.

Responsibilities :

  • Follow-up daily with technicians to ensure hours worked are reported promptly
  • Prepare, verify and send work orders ( returns ) to customers / technicians on a daily basis
  • Verify that all parts are ordered and ready for scheduled service visits to correct deficiencies
  • Prepare invoices for calls made.
  • Extract all technician hours from Maestro and match to weekly timesheets
  • Assist operational team in printing required reports
  • Enter / update various tracking sheets for operational team
  • Perform other related tasks and special projects as required
  • Act as back-up receptionist when needed

Qualifications :

  • High school diploma
  • Must have administrative or customer service experience
  • Excellent communication skills
  • Bilingual (English and French, spoken and written)
  • Ability to work under pressure and in a fast-paced environment
  • Self-starter, but able to function effectively as part of a team
  • Solution and customer service oriented, resourceful and proactive
  • Strong organizational skills and ability to manage priorities effectively
  • Meticulous, with attention to detail
  • Excellent computer skills in Office suite (including Excel and Word)

L’assistant(e) administratif(ve) sera chargé(e) de soutenir les coordonnateurs de service de la division des opérations.

En tant que ressource clé, ce poste fournira un soutien administratif au département de manière efficace et efficiente.

Responsabilités :

  • Confirmer tous les travaux prévus par courriel (72 heures) ou par téléphone (24 heures)
  • Assurer un suivi quotidien avec les techniciens pour veiller à ce que les heures travaillées soient déclarées rapidement
  • Préparer, vérifier et envoyer quotidiennement les ordres de travail ( retours ) aux clients / techniciens
  • vérifier que toutes les pièces sont commandées et prêtes pour les visites de service programmées afin de corriger les déficiences
  • Préparer les factures pour les appels effectués
  • Extraire toutes les heures de travail des techniciens de Maestro et les faire correspondre aux feuilles de temps hebdomadaires
  • Aider l’équipe opérationnelle à imprimer les rapports requis
  • Saisir / mettre à jour diverses fiches de suivi pour l’équipe opérationnelle
  • Effectuer d’autres tâches connexes et des projets spéciaux selon les besoins
  • Assurer le rôle de réceptionniste de secours en cas de besoin

Qualifications :

  • Diplôme d’études secondaires
  • Expérience en administration ou en service à la clientèle
  • Excellentes aptitudes à la communication
  • Bilingue (anglais et français, à l’oral et à l’écrit)
  • Capacité à travailler sous pression et dans un environnement en constante évolution
  • Capacité de travailler efficacement au sein d’une équipe
  • Orienté vers les solutions et le service à la clientèle, débrouillard et proactif
  • Solides compétences organisationnelles et capacité à gérer efficacement les priorités
  • Méticuleux, avec le souci du détail
  • Excellentes compétences informatiques dans la suite Office (y compris Excel et Word)
