Position Summary :
The Administrative Assistant to the Associate Dean, School of Managementprovides senior administrative support of both day-to-day operations of theoffice and a project nature. Projectswill involve administrative, academic, and financial issues covering a widespectrum of college business.
Key Responsibilities :
- First contact for the Associate Dean, fielding queries, resolving issues, if necessary, received by telephone, mail, email, or in-person.
- Assesses and responds to divisional incoming inquiries by composing memos, letters, and emails, initiating telephone calls, and meeting in-person.
- Prepares and processes contracts, copying, invoicing, and expenses.
- Research, compiles, and prepares reports, and presentations for meetings.
- Schedules internal and external appointments, meetings, and travel arrangements.
- Coordinates, creates, verifies, and maintains the accuracy of systems such as files, databases and contact lists.
- Works with program faculty and Manager Academic Operations to complete and distribute course outlines and curriculum planners.
- Acts as senior student service representative and administrative assistant to students, prospective students, staff, and public by ensuring timely and accurate information is provided.
- Intervenes in complex inquiries and difficult cases when other staff are not able to deal effectively or satisfactorily with the problem / concern. Determines when and where to refer issues for action.
- Provides administrative support to other administrators or projects as required.
- Other duties as assigned.
Educationaland Experience Requirements :
Three-year Diploma or degree from a recognized post-secondary institution in Business, Executive Office Administration, or other related field of study.Minimum three (3) years’ experience in a senior administrative role working in a dynamic office environment preferably with significant diversity in customer / student service relations, possessing excellent communication skills and an intermediate level in Microsoft Office, Office productivity software (Microsoft, Apple, Google Suite).Skills and Attributes :
Solid prioritization, coordination, organizational, problem-solving, and time management skills.Able to lift between 20 kg or 44 lbs (, files, packages, equipment, etc.).Demonstrated communication, collaboration, teamwork, and interpersonal skills at a professional level.Demonstrated commitment to uphold the College’s priorities on diversity and equity.Interview process may consist of a practical skills component.
