The Stock Transfer Administrator is responsible for validating and processing transfer requests, supporting shareholder requests as well as other administrative duties within the Operations Group to support the Supervisors mandate

  • Operate two distinct record keeping systems supporting our client shareholders transfer requests
  • Timely processing, reviewing, invoicing and validating of securities and supporting documentation to ensure the requirements are in accordance with our policies and procedures
  • Coordination of new share issuance and organizing closing mechanics
  • Coordination of printing securities from both systems
  • Service in person attendance of brokers, clients and shareholders at the service counter
  • Receiving and Distribution of items received from the mail or counter
  • Maintenance and logging of outgoing mail and courier tracking and insurance
  • Respond to written and telephone enquiries regarding transfer requirements from shareholders and internal clients.
  • Maintenance and administration of operations manual fees
  • Scanning of received incoming mail or counter items to stock transfer distribution email for virtual remote processing
  • Scanning and filing of signed batch tickets
  • Assembling physical debits processed via virtual remote processing
  • Emailing DRS transactions and invoices to presenters
  • Ensure compliance with policies, procedures and regulatory requirements.

Skills and Experience :

  • Communication : Excellent written, verbal and listening skills
  • Excellent computer skills - MS Office Suite and Google Suite of products and other desktop applications
  • Strong organizational, interpersonal and communication skills
  • High attention to accuracy and detail
  • Ability to organize and prioritize tasks and effectively communicate with peers and all levels of the company
  • A working knowledge of the securities industry as it relates to back office administration
  • A willingness and ability to adapt to a changing environment and responsibilities
  • Must have a flexible schedule to work overtime as required
  • 1 to 3 years experience in an administrative role
  • Completion of Canadian Securities Course and similar courses are preferred, but not essential
  • Bilingual in English / French an asset
  • Confidentiality : Show discretion and ability to handle confidential issues
  • Independent worker : High level of self-motivation and at ease working independently when necessary
  • Interpersonal skills : Pleasant, diplomatic manner and disposition in interacting with senior management, co-workers and the general public
  • Teamwork : Works well in a team environment, actively contributes to the success of the group
  • Salary Range : $42,000 - $52,000 / year
