About NSDP's Administration Assistant

The Administrative Assistant plays a key frontline role in supporting the effective day-to-day operations of the organization. This position provides welcoming, professional client service; coordinates office administration, communications, and records management; and supports staff, programs, and organizational events. The Administrative Assistant ensures confidentiality, maintains efficient systems and workflows, and contributes to a safe, organized, and well-functioning workplace while representing the organization in a positive and respectful manner.

Job Description

Client Service & Front Desk Operations

  • Ensure a high standard of client service during office hours (8 : 30 a.m. 4 : 30 p.m.)
  • Answer counter and telephone inquiries of a general nature
  • Make appropriate referrals to programs and related services
  • Maintain the strictest confidentiality at all times
  • Respond appropriately to telephone and security system inquiries, including alarm company calls
  • Represent the organization in a positive, professional, and respectful manner
  • Ensure client reception area is comfortable, organized and tidy
  • Support a safe, culturally responsive, organized, and welcoming workplace environment

Administrative & Office Support

  • Organize staff meetings; take, maintain, and distribute meeting minutes
  • Assist with administrative duties and program support as requested by the Executive Director and / or Executive Administrator
  • Maintain society membership records and support information distribution
  • Process incoming and outgoing mail
  • Organize staff travel for training and professional development
  • Assist with building management duties as required
  • Records Management & Compliance

  • Maintain digital and paper filing systems, including secure file destruction
  • Ensure program backup systems are maintained
  • Maintain organizational directories
  • Ensure all required security clearances are current and completed
  • Financial & Office Inventory

  • Process petty cash and bank deposits as required
  • Manage office supplies and program inventory
  • Maintain records related to office and program supply needs
  • Maintain well-stocked and well-organized kitchen, stationary and janitorial supplies
  • Technology & Facilities

  • Maintain records of technological needs, repairs, and maintenance
  • Ensure proper repair and maintenance of office equipment
  • Support coordination of technology-related services and troubleshooting
  • Maintain cleanliness and organization of main office shared spaces
  • Safety & Workplace Committees

  • Participate in the Safety Committee
  • Take, maintain, and distribute Safety Committee meeting minutes
  • Communications, Events & Public Engagement

  • Coordinate organization-wide communications and maintain the calendar of events
  • Assist with planning and organizing the Annual General Meeting
  • Support the planning and execution of NSDP events
  • Develop newsletters, AGM brochures, and promotional materials
  • Maintain the organizations website and social media platforms
  • Assist with the development of materials for public education activities
  • Create and maintain window and office displays
  • Qualifications

  • Minimum two years administrative, coordinator, training experience, ideally in a non-profit setting.
  • Demonstrated understanding of, and commitment to preventing and ending violence against women, children and youth.
  • Excellent proven ability to write, research and communicate.
  • Strong spelling and grammar skills.
  • Excellent understanding of relevant computer software such as Excel, Word, Power Point, Outlook and Social Media platforms.
  • Attention to detail, being well organized and ability to prioritize multiple responsibilities.
  • Able to work under pressure and meet deadlines.
  • Self-motivated, excellent interpersonal skills, strong analytical and innovative problemsolving skills.
  • Committed to working as part of a team dedicated to innovative approaches.
  • A positive, enthusiastic and professional approach with a 'can-do' attitude and a sense of humour.
  • Ability to work in an environment that demands flexibility, resourcefulness and commitment.
  • Qualified candidate is required to undergo a criminal record check.
  • This position requires 4 days per week onsite, for a total of 28 hours in the office.
  • Salary and Benefits : $25.95-$29.76 / hour. NSDP offers a comprehensive benefits program including anRRSP plan and robust vacation policy.
