The Opportunity
The Executive Assistant to the Chief Integration Officer (CIO) provides high-level administrative, organizational, and coordination support to enable the CIO to operate effectively across a fast-paced, multi-business environment. This role is primarily focused on calendar management, meeting coordination, communication support, and maintaining strong administrative rhythms that keep priorities moving and information flowing.
The ideal candidate is highly organized, proactive, discreet, and comfortable working in a dynamic environment where priorities can shift quickly.
Core Responsibilities

- Provide high-quality administrative support to the CIO, including calendar management, meeting scheduling, and prioritization of requests
- Coordinate internal and external meetings by preparing agendas, compiling materials, and managing follow-ups
- Track action items and ensure key commitments are documented and followed up on in a timely manner
- Act as a primary point of contact for communication on behalf of the CIO, both internally and externally
- Support administration of the Gibbons Business System, including maintaining the P&L document and Weekly Scorecard
- Support established weekly and monthly meeting rhythms by organizing agendas, materials, and action logs
- Assist with the preparation and coordination of leadership meetings, check-ins, and reviews
- Ensure meeting outcomes are clearly captured, documented, and shared with relevant stakeholders
- Create, update, and maintain spreadsheets, presentations, and basic reports with a high level of accuracy and attention to detail
- Support data entry, scorecard updates, and ongoing document management
- Assist with organizing and maintaining digital tools, files, and shared folders (e.g. SharePoint, OneDrive)
- Provide day-to-day administrative support to reduce operational load on the CIO
- Assist with the effective use and administration of communication tools such as Slack and Microsoft Teams
- Help maintain consistency, organization, and clarity across shared documents, folders, and communication channels
