Overview

About Us

Based in Nanaimo, The Hazelwood Group is a privately-owned powerhouse operating in construction, manufacturing, and real estate development. Hazelwood Finance keeps the engine running—handling IT, Marketing, HR, Accounting, and Business Development across our companies.

We’re searching for a Payroll Administrator who loves getting every detail just right. At Hazelwood, you’ll be the go-to person for all things payroll — processing bi-weekly runs, mentoring teammates, and keeping our paychecks (and people) happy.

You’ll work closely with HR, Finance, and Benefits teams to make sure everything runs like a well-oiled machine. When something doesn’t add up, you’re the first to dig in, troubleshoot, and find a solution.

Benefits of Employment – Why work at Hazelwood?

  • Comprehensive group benefits (premiums are 100% employer-paid).
  • GRSP & DPSP with tiered matching:
    • 2% of base salary (0–5 years of service)
    • 4% (5+ years of service)
  • Short-term and long-term disability plans.
  • Priority access to Telus Health Virtual Care (access to a doctor 24/7 anywhere in Canada).
  • Strong team environment that encourages and financially supports continuing education and career advancement.
  • Employee & Family Assistance Program.
  • Annual financial donations to volunteer organizations directly supported by our employees.

Compensation

  • $60,000 to $70,000 per year, depending on experience and qualifications.

What You’ll Do

  • Process accurate bi-weekly payrolls for multiple companies within the Hazelwood Group — making payday everyone’s favourite day.
  • Handle commissions, taxable benefits, RRSPs, union remittances, and reimbursements with precision and consistency.
  • Ensure all source deductions, WCB, EHT, and government remittances are prepared and submitted accurately and on time.
  • Maintain and update employee payroll records, ensuring information is current, compliant, and audit-ready.
  • Create and distribute ad hoc, monthly, quarterly, and annual payroll reports that help teams make informed decisions.
  • Troubleshoot payroll issues, collaborate with system providers or governing bodies, and find effective solutions.
  • Partner with the HR and Finance teams to ensure alignment between pay, personnel records, and accounting entries.
  • Mentor Payroll Assistants, offering guidance, training, and support to build confidence and consistency across the team.
  • Assist with year-end activities including T4s, reconciliations, and other reporting tasks.
  • Spot opportunities for process improvements and automation that make payroll smoother, faster, and more accurate.
  • Jump in to support team coverage during absences or special projects — teamwork makes the dream work!

What You Bring:

  • Payroll Compliance Practitioner (PCP) certification (National Payroll Institute).
  • 3–5 years of payroll experience (multi-company preferred).
  • Hands-on with ADP, Eclipse, or Payworks.
  • Solid understanding of Canadian payroll laws and tax rules.
  • Strong computer skills, especially Excel, Word, Outlook.
  • Exceptional attention to detail and data entry accuracy.
  • Clear communication and time management skills.
  • A team-player attitude with a readiness to pitch in wherever needed.
