Role Overview
The Project Coordinator supports the Project Management team by providing hands-on project oversight, coordination, and administrative support across active Industrial / Manufacturing projects. This role works closely with Project Managers, engineering teams, and site personnel to ensure projects are executed efficiently, accurately, and in alignment with established standards, timelines, and budgets. A strong emphasis is placed on communication, organization, and process consistency.
Key Responsibilities
Project Oversight and Coordination (Approximately 80%)
- Work closely with Project Managers, engineering teams, and site teams to support project execution and ensure deadlines and project requirements are met.
- Monitor active project labour, equipment, and materials tracking sheets to ensure accuracy and completeness for assigned projects.
- Support project budgeting, cost tracking, and financial reporting activities.
- Assist in the preparation of both client-facing and internal deliverables, including reports, change orders, and project documentation.
- Serve as a central coordination point between project teams and internal departments such as accounting, procurement, and quality.
- Maintain proactive, professional communication with clients, subcontractors, and suppliers.
- Manage project transmittals and submissions to ensure timely and accurate document flow.
- Report directly to the PMO Manager.
Standardization and Process Improvement (Approximately 20%)
Ensure all project documentation complies with established standards and PMO requirements.Lead initiatives to streamline and standardize project coordination processes across all projects.Identify opportunities to improve tools, templates, and workflows, and present practical, value-driven solutions.Qualifications and Experience
Bachelor’s degree or Diploma in a technical or engineering-related field.2+ years of experience supporting projects in a coordination or administrative capacity.Experience within a technical, design-build, or engineering organization is considered a strong asset.Demonstrated ability to work both independently and collaboratively while managing multiple priorities.High level of organization with the ability to manage complex coordination requirements.Proficiency in Microsoft Office and SharePointExcellent verbal and written communication skills.Strong interpersonal and presentation skills with the ability to engage effectively across teams and stakeholders.
