We are looking for an Events and Facilities Coordinator to support one of our clients in downtown Halifax, NS. This position is responsible for planning and coordinating events and managing day-to-day operations of the office space. You will also ensure events run smoothly, the site is well maintained, and administrative processes are organized and efficient. The position works closely with internal teams, external partners, and vendors to support initiatives.
Please note: this is a 3 month contract with the opportunity to convert into a permanent position if the fit is right.
Key Responsibilities
Event Coordination
• Plan and coordinate internal and external events
• Act as the main point of contact for event logistics and bookings
• Work with vendors, speakers, and internal teams to ensure successful events
• Support business development and innovation-related meetings and activities
Site & Facilities Coordination
• Oversee daily operations
• Coordinate office scheduling, tours, and programming
• Manage vendor relationships, maintenance requests, and facility contracts
• Order office supplies and manage related invoices
• Track payments and work with finance on processing
• Ensure the space is organized, professional, and well maintained
Qualifications
• Undergraduate degree or college diploma in event management, facilities management, business, or a related field
• 1–2 years of relevant experience (healthcare experience is an asset)
Skills & Experience
• Experience planning and executing events
• Strong organizational and problem-solving skills
• Ability to work with multiple stakeholders and teams
• Experience using technology for meeting coordination and documentation
• Strong written and verbal communication skills
• Comfortable working in a diverse and collaborative environment
• Basic knowledge of project management principles
