Admin Assistant - Full Time

About the Role

AC Properties & Home Maintenance Inc. is hiring a highly organized and proactive Administrative Assistant to support office operations, leasing coordination, communication management, and general administration. This role requires strong communication skills, attention to detail, multitasking abilities, and professionalism in a fast-paced real estate and property management environment.

The ideal candidate is tech-savvy, reliable, solution-oriented, and comfortable handling scheduling, documentation, follow-ups, phone and email support, and tenant communication.

Key Responsibilities

  • Respond to incoming calls, emails, messages, and tenant / client inquiries
  • Assist with leasing documentation, approvals, digital filing and record management
  • Maintain tenant databases, spreadsheets, logs, and administrative trackers
  • Schedule appointments, inspections, contractor visits, and tours
  • Support office organization : filing, records, supplies, and system upkeep
  • Assist management with reports, templates, correspondence, and follow-ups
  • Handle scanning, document sorting, invoices, receipts and administrative workflows
  • Support marketing and leasing activities (basic posting and updates)
  • Assist with tenant move-in / move-out notices, documentation, and status updates
  • Provide general support to management, leasing teams, and field operations

Required Skills & Qualifications

  • 1-2+ years of administrative experience ( real estate, leasing, or property management preferred )
  • Strong English communication skills - written and verbal
  • Solid proficiency in Microsoft Office (Word, Excel, Outlook)
  • Ability to write professional emails, notices, messages, and templates
  • Strong organizational skills and high accuracy in data entry and record keeping
  • Ability to multitask, prioritize tasks, and follow structured systems
  • Professional and friendly customer service approach
  • Additional languages (Bangla, Urdu, Hindi, Punjabi, Arabic, Mandarin, Cantonese, etc.) considered an asset
  • Ability to visit GTA properties occasionally when needed
  • Work Environment & Expectations

  • Full-time : Monday-Friday
  • Occasional weekend or extended hours, depending on workflow
  • Fast-paced, task-driven, team-oriented environment
  • 95% office-based with periodic on-site field coordination
