Position Information Position Number S01079 Position Title Program Coordinator Division / Portfolio Trades and Apprenticeship Department / Program Portfolio Dean's Office (P4) Location Kelowna Other Flexible Work Options Your Opportunity Under the general direction of the Associate Dean, Trades & Apprenticeship, the Program Coordinator is responsible for supporting, implementing, and evaluating existing Trades General Interest and Industry programs and courses with the goal of meeting and exceeding revenue targets within the Portfolio, and will also implement new TGI programs / courses in collaboration with the Program Administrators. The Program Coordinator designs, develops, and evaluates new courses and works with prospective clientele to develop and implement proposals which identify existing courses to meet a client’s requirements. This position also works with the Marketing and Recruiting Assistant to plan and implement annual promotions for existing certificate programs. Functions and Duties 1. Plans, schedules, designs, develops, and implements new Trades General Interest and Industry programs and courses, typically in collaboration with one of the Program Administrators, Trades & Apprenticeship.2. Liaises with businesses, service providers, government organizations, school districts, senior secondary schools and not-for-profits in the region to answer queries and respond to requests regarding Trades General Interest and Industry training;3. Assists Trades Program Administrators with organizing the logistics of Trades General Interest courses, programs, and training projects, including providing financial assistance on budget preparation, organizing course materials and online resources; advises Program Administrators if course registrations are not in line with current course capacity4. Interacts with students and clients to provide general policy, admission and registration information on Trades & General Interest, Industry, and other Program Administrator-directed programs either by telephone, electronically and in-person5. Works with community and corporate partners to propose, negotiate, execute and process service agreements for delivery of existing courses and programs;6. Works collaboratively with other Portfolios, institutions, organizations, and businesses to deliver specific TGI programs and contract training to meet the requirements of corporate clients;7. Assists in developing and updating short and medium range plans to support Trades non-ITA funded programs, courses and operations;8. Prepares annual plans and budgets, according to established policies and procedures, for the approval of the Associate Dean and Dean relating to designated program portfolio, including new and existing open enrollment courses, existing certificate programs, and other projects related to the portfolio;9. Monitors revenue and expenditure statements relative to approved budget with the goal of meeting or exceeding targets and maintains statistical data including trends, forecasts and projections.10. Prepares staffing forms for instructors in new and existing Trades General interest and Industry courses.11. Ensures student concerns, complaints and suggestions are addressed in a timely fashion.12. In cooperation with the Marketing & Recruitment Assistant, develops and supports implementation of promotional plans for new and existing TGI and Industry courses.13. Evaluates promotion and recruitment initiatives and adapts strategies for maximum impact and effectiveness. Education and Experience Degree preferred in a related area, with particular emphasis on technical writing, project management and instructional design. 2 to 5 years’ related experience, preferably in a post-secondary education environment utilizing commonly used student information, registration and finance systems.
