Responsibilities
- Build and maintain effective working relationships with billing lawyers, paralegals, legal assistants, internal and external clients, and management.
- Ensure time is entered by set deadlines; prepare, print and review prebills in a timely manner (monthly, quarterly or on request); revise according to client billing guidelines and Firm standards.
- Monitor and review outstanding WIP and follow up with lawyers and paralegals to ensure timely billing; track contingency files, closings and other milestone billing, and report status to direct supervisor, including WIP provisions.
- Prepare various reports and spreadsheets related to time, billing, receivables, etc. for lawyers / paralegals and / or external clients where applicable.
- Issue invoices as instructed by lawyers in accordance with client guidelines and Firm standards; manage narrative edits, transfers, splits, fee adjustments, and prepare PDFs, delimited or XML invoices for e-billing clients as required.
- Forward invoices and supporting documents to clients in a timely manner via mail, email or e-billing platforms per Firm standards.
- Liaise with Finance to ensure client codes and contract specifications are up to date and procedures are followed.
- Coordinate with the E-billing Team on any rejected invoices during e-billing submissions; complete online status reports and budgets in e-billing systems in coordination with lawyers and legal assistants.
- Act as monitor for specific clients / matters with Alternate Fee Arrangements; apply special rates and discounts, monitor milestones, and provide reports to ensure compliance.
- Serve as liaison between lawyers / LA’s and Finance to address accounting or financial queries to meet client needs.
- Lead initial collections inquiries with external clients; escalate billing concerns to the billing lawyer; cancel / re-issue invoices or create credit notes as needed; route problematic collections to Collections if applicable.
- Obtain information for e-billing matter setups and assist the E-billing team to ensure prompt setup.
- Coordinate with the Billings Team to manage requests and support workload during peak times; maintain accurate records of approvals and directions according to Firm standards.
Qualifications
Bilingualism (French and English) required.Post-secondary education in Accounting or equivalent work experience.Minimum of 3 years of related experience in client service, billing, collections and / or accounts receivable, preferably in a professional services firm.Familiarity with Aderant Expert or similar accounting systems is an asset.Strong time management, multi-tasking, and deadline-driven work ethic.Analytical and problem-solving skills; high attention to detail and strong organizational skills.Knowledge of business and legal terminology; tact and diplomacy when dealing with clients.Flexibility to work overtime during peak billing periods (month-end, quarter-end, year-end, etc.).High level of discretion and confidentiality.Benefits and Team
