What You’ll Do
Reporting to the National Director, Marketing and Business Development you will be responsible for project managing short and long-term tasks to meet the departmental and Firm’s Strategic goals and objectives. A comfort level with financial reports and expense management for the MBD team including high-level budget preparation and ongoing oversight over monthly general ledger (GL) spend, coding of department invoices for approval and payment, expense reimbursement administration and handling of department credit card is essential for this role. Frequent media requests will be fielded by you and redirected to the appropriate firm member. You will be checking and tracking articles for McMillan mentions on a daily basis. You will provide assistance and function as a key marketing resource to firm members, answering incoming calls and monitoring the general marketing email box to provide required information or redirecting to the responsible person / department. In addition, you will be the key marketing point person representing marketing the internal sharepoint. You will oversee the ticket coordination for hockey and baseball season liaising with lawyers and other key stakeholders. Calendar coordination will be a key responsibility, supporting managers in time management, including drafting agendas, coordinating team meetings, coordinating photo shoots and identify bring-forward items. Finally, you will assist the National Director, Marketing & Business Development on a variety of firm projects.
What You Bring
Your history includes a minimum of 8-10 years’ administrative experience in a professional service setting. Your prior administrative experience has honed your communication skills by being able to communicate in a professional manner, while exercising discretion and tact. Your high client service skills balanced with your positive and flexible attitude are what establishes you as a strong resource for the team. You are a highly motivated self-starter with superior administrative and technical skills related to software platforms such as Word, Excel, PPT, financial platforms and customer relationship management (CRM) databases. You possess exceptional organizational, process and project management experience handling sensitive and confidential information. You are comfortable working in a fast-paced, high energy, team- based work environment, overseeing multiple priorities and managing a heavy workload. Prior experience working in a legal or professional services firm accompanied with industry knowledge is beneficial. Being bilingual (English and French) would also be an asset.
