We’re currently hiring for an Accounts Payable Clerk for our Finance department . This will be a 1-year maternity leave part time contract (approximately 20 hours per week). There’s more to any job than words on a page, but the focus of this role is focusing on processing invoices, reconciling accounts, and managing vendor relationships while leveraging software tools to streamline operations. On any given day, the Accounts Payable Clerk is responsible for :

  • Prioritize automated upload of vendor invoices to OCR (Optical Character Recognition Software) meeting standard processing requirements of 1800 to 2700 invoices per month.
  • Manual data entry for 250 to 350 invoices per month.
  • Review, investigate, and resolve exceptions, errors, and discrepancies and collaborate with internal departments to ensure timely resolution of invoices resulting in on time payment.
  • Allocate invoices to approval authority using delegation of authority guidelines (DOAG)
  • Provide standard General Ledger (GL) coding for review and approval to meet compliance of organizational guidelines
  • Investigate and resolve discrepancies between invoices, purchase orders, and receiving reports with the intent to support timely close of open Purchase orders.
  • Review all vendor statements for missing invoices, credit balances, refunds, and adjustments, and apply adjustments and / or corrections to vendor accounts
  • Maintain vendor records in multiple ERP software, including contact information, payment terms, standard GL coding, and contractual agreements.
  • Communicate with vendors regarding invoice inquiries, discrepancies, and payment status with a focus on maintaining positive relationships.
  • Prepare and complete payment of supplier invoices by EFT, wire, etransfer, credit, and other forms of payment in a timely manner based on invoice terms to maximize discounts and prevent vendor credit issues.

  • University Degree or College diploma or certificate with a background in bookkeeping or accounting preferred, or equivalent experience
  • 3 – 5 years in accounts payable or similar role
  • Proficient in multiple ERP systems
  • Experience in full cycle accounts payable accounting and month end process
  • Excellent working knowledge of MS Office, especially Excel
  • Effective internal / external communication and organizational skills.
  • Analytical mindset with problem-solving skills to resolve discrepancies and improve processes.
  • Strong understanding of accounting principles
  • Ability to prioritize tasks, meet deadlines, and adapt to changing priorities in a dynamic environment.
