Job Summary.

The Supportive Living (SL) Manager is accountable for the management of all operational activities and staff in the Supportive Living home. Reporting to the Senior Manager of Supportive Living, the SL Manager oversees and supports their team in the daily care of children with medical and behavioral complexities. The SL manager advocates for and collaborates with ministries, healthcare providers, families, and other stakeholders to ensure the care provided to each child is supporting the child’s growth and development and helps each child reach their full potential. The Administrative Assistant, Recreation Programmers, and the Nursing Supervisors all report to the SL Manager.

Responsibilities.

Operational Duties.

  • Collaborate with Senior Manager of Supportive Living and other members of the leadership team for admissions, transfers, and discharges of children.
  • Oversee the development and implementation of: appropriate programs to meet the needs of all children through the review of program plans and the active participation in and observation of program activities as developed by the Recreational Programmers, and in-house and out-of-house activities, documentation, anecdotal records, and developmental checklists as developed by the Recreational Programmers.
  • Collaborate with each child’s healthcare team and others to address the needs of the child (e.g., pediatrician, specialists, dieticians, teachers, CNIB, Saskatchewan Health Authority)
  • Collaborate with Social Workers regarding care of children residing in supportive living, which shall include but not be limited to individual child funding contracts and communication of minor and major occurrences.
  • Attend or delegate attendance to children’s clinic meetings and/or appointments with physician(s), specialist(s) or any other outside practitioner providing care or treatment to the children, or, if unable to attend, delegate attendance to another nurse within the supportive living location and follow up to ensure pertinent information is processed.
  • Ensure all licensing requirements of the Ministry of Social Services are met and annual licensing deadlines are upheld.
  • Oversee the following shift end reports: Nursing Supervisor Recreation Programmer One to One Support Worker.
  • Hold 1-2 double up meetings per month with Recreation Programmers to ensure goals, programs, budgets, plans, and anticipated transactions are all on track. Touch base about staffing needs and HR concerns.
  • Support the nurses and floor staff with child behavioral requirements, changes in child’s baseline, new medical procedures, palliative care, death and follow up.
  • Seek out additional resources for training and outer agency support as needed.
  • Remain on-call for all scheduled days to assist staff with questions and/or work in place of floor staff if unable to fill vacant shifts (Flex Time is permitted if hours worked is over 160 in a 4-week period). This is only required in the event the Nursing Supervisor is unable to fulfill their call.
  • Communicate and build rapport with external stakeholders: Ministry of Social Services Families Early Childhood Intervention Program CNIB Foundation Saskatchewan Health Authority Pediatricians and other health care providers Educational institutions (SaskPolyTech, UofS, UofR) Children’s therapy programs Schools and School Boards Potential funders
  • Act as a floor supervisor when necessary to ensure proper ratios.
  • Participate in Direct Report meeting with Senior Manager of Supportive Living and in Finance/HR meetings.
  • Facilitate family visits and tours of the home.
  • Monitor supply orders.
  • Monitor quality control of: Policies and procedures and identify need for changes, checklists, emergency protocols, internal and external reviews.
  • Deliver presentations to post-secondary institutions and coordinate the work placements of students.
  • Liaise with the Facilities Manager to coordinate general maintenance and renovations at the home.
  • Monitor the maintenance of the Hope’s Home van to ensure it remains in working order.
  • Household duties as needed.
  • Perform admission and discharge function or delegate appropriately.
  • Complete reports for medication errors, unusual occurrences, and minor injuries and provide to Ministry of Social Services Worker and the Senior Manager of Supportive Living
  • Schedule nursing staff to attend children’s meetings and/or appointments with physician(s), specialist(s) or any other outside practitioner providing care or treatment to the child.
  • Oversee appointment logs.
  • Arrange staffing to accompany child to the hospital and report to Ministry of Social Services Worker and the Senior Manager of Supportive Living.
  • Oversee the maintenance and update of equipment used by each child.
  • Monitor to ensure emergency equipment is regularly maintained and replaced as required.
  • Monitor to ensure portable emergency equipment and outing bags are complete with all up to date and working equipment as required.
  • Act as the primary contact for general inquires, sick calls, and emergency calls.
  • Ensure children’s charts are complete and up to date.

Human Resource Duties.

  • Responsible for overseeing the hiring/termination, onboarding and offboarding of employees.
  • Compose employment letters, and assist staff in the Immigration, Refugees and Citizenship (IRCC) and/or Saskatchewan Immigrant Nominee Program (SINP) application process.
  • Ensure all applicable HR paperwork is completed as required and on time.
  • Update employee files with documentation as needed.
  • Oversee and support the orientation for new employees which includes a tour of the facility, completion of the new hire package, set up Deluxe payroll, review Staff Handbook, job description, and key policies (Staff Handbook, Sick Leave, Social Media, Cell Phone and Progressive Discipline policies).
  • Oversee the training of new staff.
  • Train and/or delegate the training of all new employees on the following: standard practices, policies, and procedures of Hope’s Home and the Supportive Living program, Colour Cards and Team Alliances.
  • Coach and mentor all staff in the home; communicate expectations and goals, build accountability, and motivate performance.
  • Oversee the development of all direct reports: Ensure operational goals and objectives are set. Ensure professional development plan is in place. Schedule and facilitate regular direct report meetings with staff. Coach and provide daily feedback and mentorship. Address and manage any performance concerns. Schedule and evaluate staff reviews annually
  • Manage employee performance and behavior; oversee the performance evaluation process and take corrective action when necessary up to and including progressive discipline action.
  • Schedule and facilitate Direct Report and team meetings, house staff meetings and nursing staff meetings as required.
  • Schedule and facilitate modified work arrangements.
  • Meet weekly with Nurse Supervisors to collaborate on daily operations and ensure standards of care are always maintained; ensure nursing department is following up with nursing errors, additional training is scheduled where needed.
  • Ensure accurate accreditation of all staff including training deemed mandatory by the Residential Services Manual.
  • Arrange for external training with outside agencies.
  • Report work related injuries to Saskatchewan Worker’s Compensation Board (WCB) and coordinate disability and WCB claims.
  • Oversee the tracking and maintenance of the training spreadsheet.
  • Support Professional Development opportunities for all staff.
  • Participate in training and professional development opportunities to remain current on nursing practices and enhance leadership.
  • Schedule and facilitate staff appreciation and team building activities.
  • Manage student placement within the home.

Financial Duties.

  • Participate in developing the annual financial budget.
  • Complete payroll for the supportive living location and submit to finance bi -weekly.
  • Approve all time off at the location, create summer schedule and provide scheduled coverage.
  • Verify and approve time clocks (payroll task).
  • Monitor vacation and sick bank monthly.
  • Monitor and maintain staffing and operational expenditures in accordance with the approved budget and note rational for variances.
  • Monitor to ensure recreational program expenses for each child are within budget.
  • Manage the Staff Fund for the location.
  • Submit travel requests for self and staff.
  • Collaborate with Provincial Fundraising Manager to apply for grants that enhance the facility and care of the children.
  • Create MSS funding contracts every 6 months for children 5 and under and one on one contacts and submit for approval to MSS, then submit to finance following MSS approval.
  • Prepare approvals for requisitions and expenses.
  • Monitor the petty cash.

Occupational Health and Safety.

  • Create a psychologically safe work environment (resolve conflicts in respectful ways and ensure a fair resolution, provide an environment where employees feel safe and supported to share ideas, listen, learn from, and seek to understand the ideas of others).
  • Oversee that OHS legislative requirements are being met within the centre.
  • Complete all required OHS training (OHC Level 1, OHC Level 2, Supervision and Safety)
  • Ensure all staff have received the required OHS training.
  • Schedule and chair the quarterly OHS Committee meetings.
  • Monitor, report and resolve any safety hazards in the work environment and OHS standards are maintained.
  • Oversee monthly Fire and Emergency Drills are completed.
  • Conduct monthly fire and emergency drills.

Qualifications.

  • Practicing License in good standing with the licensing body: SALPN, SRNA, or RPNA
  • Minimum 5 years of Pediatric experience.
  • Minimum 5 years of supervisory/leadership experience.
  • Experience with behavioral complexities an asset.
  • Transferring, Lifting and Repositioning (TLR) training an asset.
  • Strong Knowledge of current nursing practices.
  • Must have valid driver’s license.

Work Environment.

  • Monday to Friday – typical workday with flexible start and end times.
  • In the absence of Nursing Supervisors, perform on call duties after hours.
  • Unpredictable behaviors

  • Driving of children required.
  • Can have long periods of time sitting.
  • Physical ability to perform and safely work with objects or persons of varying sizes: Exertion of ~100 lbs of force occasionally. Exertion of ~50 lbs of force regularly. Exertion of ~25 lbs of force continuously.
  • Use a variety of adaptive equipment.
