Reporting to the Assistant Director, People and Culture, the Payroll and Administrative Assistant assists with the accurate and timely processing of payroll and supports a full range of administrative functions in compliance with collective agreements, institutional policies and regulatory requirements. Responsibilities include assisting with payroll data entry and reconciliation, responding to employee inquiries, preparing correspondence and reports, and contributing to the smooth operation of day-to-day administrative processes.
Responsibilities
Working in close liaison with the Payroll & Benefits Coordinator process the bi-weekly and semi-monthly payroll by entering and updating positions, employee and timesheet information for hourly and student employees; produce a payroll summary, verify and edit all data input and run various system processes to finalize the payroll.Provide general support to self-service users / supervisorsPerform other payroll processing activities including the production and distribution of pay statements; processing of government, pension, benefit and union remittances by specific deadline dates; distribute system-generated reports to other departments; respond to a variety of inquiries; and prepare Records of Employment; complete monthly Statistics Canada payroll surveysAssist with payroll administration by entering and updating employment and employee status-changesAssist the Administrator with the organization of the holiday social, employee recognition and retiree eventMaintain employee files as well as other departmental electronic and paper filing systems, including those related to staff training, skills, workshopsMaintain an inventory of office and stationary supplies, forms, and benefit literatureAssist the Payroll & Benefits Coordinator in various annual tasks such as T4 Processing, vacation accrual calculations and distributions, benefit renewals and year end reportingProvide back up for the Payroll & Benefit Coordinator and Administrator during absencesAssist with the preparation of pension packages, in consultation with the People and Culture Consultant (Compensation & Benefits)Assist with new hire benefits enrollment processesTrack received medical notes and advise consultants of upcoming transitional timeframesAssist with departmental audits and projectsSupport development and maintenance of inventory of documentation related to departmental processes which may include recording and / or updating of departmental processes which have not yet been documentedAssist in the implementation of any new systems or programsSupport process improvement and technological advancement within the departmentPerform other duties as assignedQualifications / skills
Diploma in accounting or Human ResourcesPayroll Compliance Professional (PCP) designation is an assetMinimum of one to three years experience in payroll / benefits / human resources with a medium to large organizationExperience using payroll and HR information systems a definite assetProficiency in M365 and ability to learn new softwareStrong interpersonal and communication skills with a customer service orientationProven ability to work independently and within an integrated team and take initiativeDetail-oriented with a focus on accuracyStrong numerical and analytical abilityStrong organizational skills and ability to switch between tasks and priorities while maintaining required quality and productivity in view of multiple and tight deadlinesKnowledge and understanding of university policies, collective agreement provisions, benefit plan provisions and CRA regulationsProven discretion in dealing with confidential informationMount Allison is committed to diversity and inclusiveness.
