The Broadway Subway Project Corporation (BSPC) is an Acciona-Ghella general partnership to deliver a 5.7 km extension of the Millennium Line, from VCC-Clark Station to Broadway and Arbutus. Once complete, it will provide fast, frequent and convenient service to B.C.’s second largest jobs center, world-class health services, an emerging innovation and research hub, and growing residential communities.
The Contracts Administrator will support Subcontracts Administration by managing subcontractor relationships and overseeing awarded subcontracts within established cost parameters, helping ensure that financial and operational commitments are consistently met or exceeded.
Job Description
- Assist in the preparation, review, administration, and close-out of contracts and subcontracts, ensuring full compliance with project requirements, procurement procedures, and company policies.
- Draft and issue contractual correspondence, including notices, instructions, and commercial letters to subcontractors and suppliers.
- Prepare prime contractor payment applications and review, assess, and process subcontractor and supplier payment applications for inclusion in Certificates of Payment.
- Support procurement activities, including subcontract administration, monitoring of contractual obligations, variations, and commercial deliverables.
- Prepare regular commercial and procurement reports on project progress, financial status, cost commitments, and contract performance for internal management and external stakeholders.
- Participate in and support internal meetings, procurement reviews, and client / subcontractor commercial meetings, including preparation of agendas, minutes, and follow-up actions.
- Maintain accurate and well-organized records of all commercial and procurement activities, including contracts, subcontracts, change orders, variations, claims, and correspondence.
- Assist in identifying, assessing, and mitigating commercial and contractual risks associated with procurement and subcontractor performance.
- Support the formulation, evaluation, and negotiation of variations, change requests, and claims, including assessment of entitlement, additional costs, and time impacts.
- Assist with insurance and subcontractor-related claims administration, as required.
- Perform general commercial and procurement clerical duties, including data entry, document control, and filing within project management systems.
- Undertake assigned commercial and procurement tasks under the guidance of the Senior Contracts Manager.
- Ensure compliance with applicable health, safety, and environmental regulations in all commercial and procurement activities.
- Provide day-to-day support to the Senior Contracts Manager on all commercial, contractual, and procurement matters, including liaison with external legal counsel when required.
Experience / Qualifications
Bachelor’s degree in Quantity Surveying, Construction Management, Business, Law, or another relevant discipline, or equivalent proven experience.Construction industry experience, with a minimum of 3–5 years in a similar Contracts Administration role.Strong proficiency in Microsoft Office (Word, Excel, Outlook) and the ability to quickly learn new systems.Excellent English language skills, both written and verbal.Strong interpersonal, communication, and relationship-building skills.Experience with international major contractors and joint venture environments is preferred.Proven ability to work collaboratively within diverse teams in a fast-paced environment.Strong multitasking skills with the ability to prioritize effectively and maintain attention to detail.Demonstrated problem-solving skills, with the ability to identify issues, analyze impacts, and develop practical solutions.Ability to self-manage, remain organized, adaptable, and solution-oriented.Professional qualifications such as MRICS, MCIOB, or MCIArb are desirable.
