Job Summary :

The IntakeSpecialist is a member of the Mental Health & Substance Use (MHSU) team.The position acts in an essential coordinating role supporting intake processesin and out of Phoenix Society bed-based programs.

Responsibilities :

Screening & Admissions :

  • Assist in the coordination of intake andadmissions processes, including, but not limited to

o Conducting pre-screeningand assessment interviews

oCommunicating with referral sources and applicants’ collateralcontacts such as physicians or psychiatrists

oEnsuring required documentation is completed prior to applicants’admission

  • Communicate programstructure, services, and guidelines to ensure that the applicant has thenecessary information to ensure applicant can make an informed decision aboutadmission and to enhance client matching
  • Present pre-screening andassessment information to the MHSU and housing teams to determine suitabilityof applicants for the programs and schedules for prioritized admission
  • Ensure that all inquiriesare handled in a professional and courteous manner, offering accurate, timelyand helpful information to the public and community stakeholders
  • Participate in on-going development, maintenance, and evaluation ofan effective pre-screening and assessment process
  • Report to and discusscase concerns with supervisory positions and the integrated services team
  • Perform duties as required
  • Administration

  • Assist in liaising withtreatment centers, support recovery programs, addictions and mental healthworkers, detox shelters, primary care clinics, correction institutions, police,hospitals, outpatient clinics, and housing providers to reach prospective residentsto improve continuity of care
  • Ensurecompliance with the standards of Community Care Facility Licensing and theMinistry of Health Services – Mental Health and Substance Use Services and withthe BC Housing Operating Agreement
  • Identify areas forimprovement and increased efficiency in program operations, technology,services offered, reporting and reports to supervisory position
  • Facilities Management :

  • Monitor operations of thecomputerized Chubb fire safety and security system, and work cooperatively withbuilding stakeholders (Fraser Health) on health, safety and security issues(e.g., providing swipe cards, arming of areas, safety drills, etc.)
  • Work to ensure a safe,well-maintained and healthy building environment
  • Ensure that all residentsabide by bedbug protocols
  • Community Engagement :

  • Participate in marketing ofthe Phoenix Centre and Supporting Housing programs, and promote communityinvolvement in the programs
  • Maintain a thorough knowledge of social, economic, recreational andeducational resources in the community.
  • Qualifications

  • Post-secondary diploma(e.g., 2 to 3 years) in counselling, social work, community services, orequivalent
  • 1 to 3 years of experiencein an admissions setting and working with marginalized populations, substanceuse services, mental health, corrections, etc., or equivalent
  • Satisfactorycompletion of a Criminal Records Check with vulnerable sector screening isrequired
  • Satisfactory TuberculosisScreening form is required
  • Satisfactorycompletion of Employee Immunization Record form is required
  • First Aid Certificate with CPR is required
  • Valid driver’s license isrequired
  • Skills & Knowledge :

  • Knowledgeof Windows, Microsoft Word, Excel, and database management systems
  • Knowledge of and ability tooperate standard office equipment, including telephone system, fax machine,photocopier, printer, and computerized building security monitoring system
  • High level of integrityand dependability with a strong sense of urgency and results-orientation
  • Strong problem solving,analytical, and creative skills with the ability to exercise sound judgementand make decisions based on accurate and timely analysis

  • Salary for this role is between$ 27.92 to $ 29.60 per hour.
