We are currently seeking a dynamic, tech‑savvy Administrative & Reporting Specialist to join our fast‑paced Kelowna office. This is not a traditional administrative role. You are the final gateway for our technical data, responsible for high‑volume engineering report production, CRM workflow management, and ensuring our reporting practices run seamlessly. Duties & Responsibilities
- Receive, audit, and produce final technical reports, ensuring accuracy before delivery to clients
- Liaise between field staff, engineers, and management to ensure reporting milestones are met
- Manage electronic and paper filing systems; prepare formal correspondence and client presentations
- Utilize Method CRM to track project progress and client interactions
- Act as the internal lead for learning and implementing new software tools to improve office efficiency
- Track and report weekly on vehicle maintenance status to support safety compliance
- Provide high‑level administrative support to the leadership team
- Order office supplies with a focus on cost‑effectiveness and maintain administrative equipment (e.g., copier)
- Assist in maintaining office cleanliness standards and coordinate with external service providers
- Support the Marketing team by managing pre‑planned content across social media platforms
- Assist the Accounting department with client billing inquiries as needed
- Provide back‑up support for incoming calls during peak periods
Qualifications & Skills
3+ years of administrative experience in a technical or report‑heavy office environmentDetail‑obsessed : You catch errors and inconsistencies others miss—accuracy is your trademarkTech‑forward : High proficiency in Microsoft 365 and QuickBooks Online; Method CRM experience is a strong assetComfortable using LinkedIn and Facebook for business purposes; experience with Canva and / or Adobe is an assetHighly adaptable and quick to learn new software and digital workflowsProven ability to multitask and manage competing priorities in a growing companyExceptional written and verbal communication skills; technical writing experience is a plusIf you are organized, tech‑savvy, and looking for a stable, long‑term role where company values are evident day‑to‑day, we would love to hear from you.
