Current Rate of Pay : $32.72- Max $40.91

Current Shifts : Mon - Fri, 8 hour shifts

Position Summary :

The Payroll Assistant works collaboratively with the Payroll Administrators and together are responsible for the processing of a biweekly payroll for over 1,700 non-union and unionized hospital employees in a timely manner. The hospital’s payroll is entirely an in-house function, and as such, includes all aspects of payroll administration.

Bi-weekly payroll duties include : reconciling of payroll entries between the Meditech and UKG systems; reviewing the accuracy of new hires information; support the calculation and processing of vacation, statutory holiday, and lieu time banks; enter pay adjustments; review payroll audit reports and correct discrepancies; assist with reconciliations; process manual pays; communication with employees; ensuring compliance with hospital policies, procedures, and union agreements, and applying basic knowledge to payroll tasks; and other duties as assigned.

Monthly or annual payroll duties include : supporting the processing of union billing; assisting with monthly government reporting requirements; assisting with the annual reporting and auditing tasks related to government remittances, T4s, and vacation plans; assisting with the processing of retroactive pay; assisting in the preparation of Accounts Payable cheque requisitions and maintaining basic reports for reconciliations, employee withholdings, and benefit entitlements; and other duties as assigned.

  • Qualifications, Experience, Skills and Abilities :

  • Minimum 1 year, recent experience processing payroll transactions in a computerized environment
  • Intermediate level computer skills, in particular in Excel
  • Post Secondary degree / diploma in Finance / Accounting / Business or working towards completion
  • Payroll Compliance Practitioner certification and / or Certified Payroll Manager designation from the Canadian Payroll Association, or willing to complete
  • Experience with multi union, multi benefit plan organizations an asset
  • Experience with UKG and / or Meditech an asset
  • Great attention to and passion for detailed work
  • Excellent interpersonal and communication skills, both verbal and written
  • Excellent conflict resolution skills
  • Demonstrated ability to work in a high volume, fast paced environment while meeting deadlines
  • Demonstrated analytical analysis and decision-making skills, along with the ability to create and implement appropriate solutions
  • Demonstrated ability to work independently and in a self-directed manner as well as collaboratively within a team in a fast-paced and ever-changing environment
  • Demonstrated commitment to excellent customer service when interacting with patients, families, colleagues and physicians
