Job Description

Our established property management client is seeking an Administrative Assistant to join their collaborative team in Gatineau (fully on site).

Reporting directly to the General Manager, this role entails managing day-to-day administration and providing excellent customer service to residents and visitors.

Responsibilities :

  • Manage accounts, payments, and update co-owner records.
  • Interact with accounting office, handle invoices and receipts.
  • Maintain accurate information and record employee data.
  • Manage office supplies, IT services, and administrative documents.
  • Assist with Board meetings and prepare necessary documents.
  • Send communications, handle purchase orders, and daily correspondence.
  • Interact with co-owners, handle complaints, and promote services.
  • Ensure compliance with building regulations and manage visitor access.
  • Manage access devices and intercom updates.
  • Coordinate move-ins / outs and conduct welcome meetings.
  • Guide temporary employees and participate in staff meetings.
  • Ensure building safety and respond to emergencies.

Qualifications :

  • High school diploma or equivalent; post-secondary education in administration, business, or a related field preferred.
  • Bilingualism in English and French required, both verbal and written.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time management skills, along with strong customer service skills.

Notre client établi dans la gestion immobilière recherche un(e) adjoint(e) administratif(ve) pour rejoindre leur équipe collaborative à Gatineau (entièrement sur place).

Relevant directement du directeur général, ce poste consiste à gérer l'administration quotidienne et à fournir un excellent service à la clientèle aux résidents et visiteurs.

  • Gérer les comptes, les paiements et mettre à jour les dossiers des copropriétaires.
  • Interagir avec le service de comptabilité, traiter les factures et les reçus.
  • Maintenir des informations précises et enregistrer les données des employés.
  • Gérer les fournitures de bureau, les services informatiques et les documents administratifs.
  • Assister aux réunions du conseil d'administration et préparer les documents nécessaires.
  • Envoyer des communications, traiter les bons de commande et la correspondance quotidienne.
  • Interagir avec les copropriétaires, traiter les plaintes et promouvoir les services.
  • Veiller au respect des règlements de l'immeuble et gérer l'accès des visiteurs.
  • Gérer les dispositifs d'accès et les mises à jour de l'interphone.
  • Coordonner les emménagements et déménagements et organiser des réunions de bienvenue.
  • Guider les employés temporaires et participer aux réunions du personnel.
  • Assurer la sécurité de l'immeuble et répondre aux urgences.

Qualifications :

  • Diplôme d'études secondaires ou équivalent ; formation postsecondaire en administration, en affaires ou dans un domaine connexe préférée.
  • Bilinguisme en anglais et en français requis, tant à l'oral qu'à l'écrit.
  • Expérience avérée en tant qu'adjoint(e) administratif(ve) ou dans un rôle similaire.
  • Maîtrise de MS Office (Word, Excel, PowerPoint, Outlook).
  • Excellentes compétences organisationnelles et de gestion du temps, ainsi que de solides compétences en service à la clientèle.
