Reporting to the Legislative Services Supervisor, the Records Management Clerk is responsible for providing support to the Records Management Coordinator, for Yellowhead County’s corporate-wide records management system and storage facility.
Position Responsibilities
- Scan and digitize paper records for electronic storage.
- Apply correct templates and relevant metadata to digitized documents.
- Assist with file conversions; record dispositions; electronic conversions and implementation.
- Assist with moving and organizing files in the centralized records management areas.
- Assist in coordination of ongoing storage, retrieval, distribution, and destruction of vital records, including entering and updating the records management software database.
- Perform general clerical duties as assigned including but not limited to photocopying, scanning, faxing, mailing, and filing.
- Assist with migration of records from one storage media or system to Laserfiche as required.
- Maintain awareness of and comply with Yellowhead County’s Health and Safety Policies and Directives, the OH&S Act and code by following responsibilities and rights as outlined in the Health and Safety Manual.
- Maintain strict confidence and manage, in a professional manner, highly sensitive and confidential information.
- Complete all other duties as assigned.
Qualification, Knowledge, Skill & Ability Requirements
Education / ExperienceGrade 12 Diploma;Current enrollment in post-secondary education in a Records Management, archival or library services program or related field is preferred;Related education or work experience is considered an asset;Previous experience working with Laserfiche is considered an asset;The incumbent must provide a Police Record Check with satisfactory results;The incumbent must provide a Driver’s Abstract with satisfactory results;The incumbent must hold a Defensive Driving certificate completed within the last five (5) years;Knowledge, Skills and AbilitiesWorking knowledge and understanding of information management principles and best practices, including classification, retention, and all phases of the information lifecycle, would be an asset;Effective communication skills and an ability to understand oral and written instructions;Proficiency with Microsoft Office, OneDrive, Teams, and SharePoint;High degree of attention to detail and accurate data entry skills; andAbility to maintain confidentiality with respect to all matters pertaining to Yellowhead County.Work is conducted in an open office environment;Manual dexterity is required to use desktop computer and peripherals;Possess physical ability to reach and lift heavy boxes weighing as much as 50 lbs;Potential exposure to dust when working with older records; andHigh intensity visual attention, continuous data entry.The hourly wage is $23.96 to $26.08. This is a seasonal position. Position dates are approximately May 4, 2026 to August 28, 2026.
