Licensed Assistant II

Join our investment advisory team in Ottawa as a Licensed Assistant II. This is a 18-month contract starting February 10, 2026, and running through September 13, 2027. In this role, you will support corporate advisors by managing administrative tasks, client services, and account management within a strong, community-focused office environment. You will primarily support one specific advisor while collaborating with a wider team of advisors and assistants.

Responsibilities
Client Service: Serve as the primary point of contact for clients calling with financial concerns and handle all client inquiries with professionalism.

Account Management: Process account openings, transfers, updates, and handle trade entries on the system.

Administrative Support: Manage advisor calendars, schedule meetings, resolve scheduling conflicts, and set up conference calls.

Data Integrity: Document all client interactions meticulously in Salesforce, which is a critical requirement for this role.

Problem Resolution: Handle escalations and resolve issues by coordinating with the head office or back office.

Qualifications
Licensing (Mandatory): Must have Canadian Securities Course (CSC) and Conduct and Practices Handbook (CPH) certifications for Investment Dealer licensing. Candidates with only one of these will be considered only if they are prepared to complete the other; those without any licensing will not be considered.

Experience: At least one year of practical experience supporting advisors in a financial services, mutual fund, or investment dealer environment (recent graduates with one year of experience are acceptable).

Technical Skills: Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and experience with CRM programs, specifically Salesforce. Knowledge of Power BI is an asset.

Education: An undergraduate degree is preferred.

Soft Skills: Exceptional organizational and time management skills, strong verbal communication, and the ability to work effectively in a team.

Bilingualism: Proficiency in English and French is considered a bonus.
