The Senior Coordinator, Events & Industry Programs plays a key operational and partner-facing role in delivering Sunshine Coast Tourism’s workshops, industry capacity-building programs, and consumer / industry events.

This role provides hands‑on logistical execution and event delivery, communications support, stakeholder support and outreach, and comprehensive administrative organization across all aspects of SCT’s events and industry programming.

Working closely with the Manager, Communications & Industry Partnerships, the Senior Coordinator ensures that SCT’s programs and events are well‑organized, impactful, and aligned with the needs of the tourism industry and community.

This position is ideal for someone who thrives on logistics, planning, communication, community engagement, and coordinating the many moving parts required to deliver high‑quality events and industry programs.

Work Environment : This role combines remote work with regular in‑person engagement. Day‑to‑day tasks may be completed from a home office; however, the position requires frequent travel within the Sunshine Coast to support events, meetings, workshops, and partner activities. There is no centralized office location. The successful candidate must be comfortable managing their time independently and working across multiple locations.

Responsibilities & Qualifications

Duties and Responsibilities

Event Planning & Execution (40%)

  • Lead logistical planning and delivery for all SCT‑hosted events, including (but not limited to) : Annual General Meeting, Industry workshops, forums, networking events, Sunshine Coast Flavour Festival, and resident engagement activations and community‑facing events.
  • Manage registrations, RSVPs, reminders, and attendee communications.
  • Book venues, catering, AV equipment, rentals, and supplies.
  • Prepare event materials such as signage, name tags, agendas, and presentations.
  • Coordinate event timelines, supplier communications, and confirmation documents.
  • Day‑of event execution including setup, onsite support, teardown, and troubleshooting.
  • Prepare post‑event summaries, attendance reports, and evaluations.
  • Organise and maintain event files, templates, and administrative resources.
  • Assist with budgeting, invoice processing, and expense tracking for events and programs.
  • Industry Programs Coordination (35%)

  • Coordinate logistics, schedules, and materials for SCT’s industry programs.
  • Administer business listings, directory updates, and ensure CRM accuracy.
  • Maintain program documentation, records, templates, and shared drive files.
  • Track participation, engagement metrics, and program outcomes to support reporting.
  • Maintain an up‑to‑date industry programs calendar aligned with SCT priorities.
  • Support execution of strategic plan initiatives (training, sustainability programs, workshops, etc.).
  • Stakeholder Services and Support (15%)

  • Serve as the primary point of contact for tourism operators and partners seeking guidance or support.
  • Onboard new stakeholders to SCT programs, communications, and tools.
  • Respond to partner inquiries related to participation, content updates, and general support.
  • Support ongoing engagement with industry partners, community organisations, and event organisers.
  • Assist the Manager with coordination related to sector partners (leisure consortiums, film, sport tourism, meetings / retreats).
  • Communications & Media Support (10%)

  • Coordinate logistics for media and influencer FAMs, including bookings, confirmations, and itinerary preparation.
  • Assist in gathering assets, support materials, and operational details for media visits.
  • Help maintain media contact lists and support tracking of media coverage.
  • Prepare presentations, spreadsheets, handouts, and reports as requested.
  • Assist with formatting, scheduling, and distributing industry newsletters and partner updates.
  • Qualifications

  • 3+ years experience in event coordination, tourism, hospitality, stakeholder relations, or similar.
  • Strong logistical and organisational skills; thrives in planning and execution.
  • Comfortable interacting with businesses, government, and community groups.
  • Excellent written and verbal communication skills.
  • Demonstrated digital fluency, including the ability to rapidly learn and master new software platforms. Proficiency with cloud‑based tools (Google Workspace) is required; experience with CRM and project management systems is preferred. Comfort operating within a diverse tech stack and solving routine technical issues independently is essential.
  • Ability to work evenings / weekends during events or activations as required.
  • Valid driver’s licence and access to a vehicle.
  • Valid passport and ability to travel both within the Sunshine Coast and occasionally within the broader region (BC / WA).
  • Ability to work with sensitive or confidential information with professionalism and discretion.
