Administration | Management, Sales and Professional Positions | Hybrid | Permanent - Full-time

A key role at the heart of client files, with autonomy and remote work in the long term

Key Information

  • Job Title: Administrative Assistant
  • Location: Saint-Bruno, Quebec, Canada
  • Job Type: Permanent - Full-time
  • Work Mode: Hybrid
  • Salary: Based on experience and autonomy

Join a small financial services team where your rigor has a direct impact on service quality and the smooth running of transactions. This position combines administrative support, client file follow-up, and transaction coordination in investments, with a fast pace and high expectations for accuracy. The work environment emphasizes trust, autonomy, and a gradual transition to almost complete remote work.

Responsibilities — concrete deliverables and daily impact

  • Ensure service continuity by answering calls when the junior assistant is unavailable and directing requests efficiently.
  • Sort and prioritize emails from the advisor by clearly separating client files from administrative follow-ups.
  • Prepare appointment files, summaries, and retirement income payment summaries to support structured and comprehensive meetings.
  • Document follow-ups and maintain complete, traceable, and up-to-date files for reliable execution of operations.
  • Coordinate investment transactions by meeting clients, completing required forms, and then forwarding requests to the broker until final processing.
  • Perform fund analysis in Morningstar (or comparable tool) and apply complex investment guidelines provided by the team.
  • Keep the company's accounting, prepare documents for the accountant, and record commissions received the previous year each January.

Profile sought — essentials for success in this role

  • Demonstrate bilingualism in French and English to serve an English-speaking clientele, including exchanges related to Ontario.
  • Master the organization of multiple follow-ups simultaneously while maintaining structured and easily verifiable documentation.
  • Exhibit exceptional administrative rigor and a constant attention to detail in a context where errors can impact clients.
  • Be very comfortable with technological tools and systems (broker portal, financial CRM, specialized software).
  • Adapt to a fast pace, including a particularly intense period in February, without compromising accuracy.
  • Act with autonomy, initiative, and proactivity in a management style based on trust and minimal micromanagement.
  • Welcome feedback with coachability and communicate directly and constructively in a team, including the ability to report an error when necessary.

Conditions — compensation, schedule, and benefits

  • 37.5 hours per week, with Fridays ending at noon.
  • Flexible schedule according to needs, with the possibility of taking time off and resuming hours autonomously.
  • Enjoy up to 4 weeks of annual vacation based on experience, as well as time off during the holiday season.
  • Access to insurance options based on personal preferences, with a modular structure between insurance and direct compensation.
  • Evolve in a work mode expected to become almost entirely remote within 1 to 2 years.

Assets — to accelerate your onboarding

  • Have experience in financial services, investments, or insurance.
  • Know a broker portal and a financial CRM.
  • Possess knowledge of corporate accounting.

If you enjoy impeccable files, follow-ups that never get lost, and a role where your precision directly protects clients, this position will give you a real impact ground on a daily basis.
