You will be a member of the Facilities & Operations team, which is responsible for:

• Supporting facility operations, maintenance programs, and service delivery activities.
• Managing operational reporting, financial tracking, forecasting, and budget monitoring.
• Reviewing contracts, invoices, and operational workflows to ensure accuracy, compliance, and effective governance.
• Coordinating vendor services and supporting maintenance and work order management processes.
• Identifying opportunities for process improvement, automation, and operational optimization, including the use of AI tools and digital solutions.
• Developing operational documentation, procedures, and playbooks to support business continuity and knowledge management.
• Creating communication materials, presentations, newsletters, and SharePoint content to support stakeholder engagement and information sharing.
• Supporting project planning, tracking, reporting, and execution of operational initiatives.
• Investigating operational issues and financial discrepancies and assisting in the development of corrective actions.

Your job duties may include:

• Assisting Facilities & Operations staff with financial reporting, forecasting, and contract governance activities.
• Analyzing operational data and preparing reports, spreadsheets, presentations, and dashboards.
• Supporting work order analysis, maintenance tracking, and vendor coordination activities.
• Assisting with the development and maintenance of SharePoint sites, communications, and operational playbooks.
• Evaluating existing processes and identifying opportunities for automation and efficiency improvements.
• Supporting project coordination activities and providing administrative support for operational initiatives.
• Assisting with ad hoc requests and cross-functional projects as required.
  
  

This job will provide you with the following professional development:

• Experience in facilities management, operations, financial tracking, and contract administration within a large corporate environment.
• Exposure to process improvement methodologies, automation tools, and AI-enabled business solutions.
• Hands-on experience with operational reporting, forecasting, and data analysis.
• Opportunities to develop communication, stakeholder management, and project coordination skills.
• Experience working with enterprise systems, reporting tools, and collaboration platforms such as SharePoint.
  
  

Job Requirements:

• Discipline: Business, Finance, Real Estate, Engineering, Facility Management, Technology, Data Analytics, or a related field.
• Academic Level: Minimum 2nd year of post-secondary program completed.
• Technical Skills: Proficiency with Microsoft Excel and other productivity tools; experience with SharePoint, PowerPoint, SAP, or similar enterprise systems is an asset.
• Other Requirements: Strong analytical, problem-solving, and communication skills. Demonstrated interest in process improvement, automation, AI technologies, and operational excellence. Ability to work independently and collaboratively in a fast-paced environment.
