SWIM Recruiting is partnering with a leading global technology company to recruit an Intermediate Executive Assistant to join its growing Executive Support team in Metro Vancouver.
Our client isn't necessarily looking for someone who has already reached the Senior EA level. They're looking for someone with a strong foundation and the curiosity, initiative, coachability and drive to continue developing their career.
You'll join an established EA team, gain exposure to senior leaders across a rapidly growing global technology organization and have the opportunity to take on increasing responsibility as you build trust and demonstrate your capabilities.

For an Executive Assistant, one of the particularly attractive aspects of this opportunity is the company's established Executive Support function.
Rather than operating as the only EA within an organization, you'll join a collaborative team of Executive Assistants where there are opportunities to learn from others, share knowledge, take on new challenges and continue developing your capabilities.

Most importantly for someone joining at the Intermediate level, career progression is real. High-performing EAs have progressed into Senior EA positions and taken on increasingly sophisticated responsibilities as they have developed.

What – The Role

As an Intermediate Executive Assistant, you'll provide high-quality executive and administrative support to senior leaders while becoming an important member of the broader Executive Assistant team.
As the organization continues to grow, the executive support structure will continue to evolve. We're therefore looking for someone who is comfortable with variety, changing priorities and opportunities to lean in wherever support is needed.
Your responsibilities may include:

  • Managing complex calendars and coordinating meetings across multiple stakeholders and time zones.
  • Supporting VP-level and other senior executives with their day-to-day priorities.
  • Coordinating domestic and international travel, including detailed itineraries and changing logistics.
  • Preparing and processing expense reports.
  • Coordinating meetings, agendas, materials and follow-up items.
  • Tracking action items and ensuring commitments are followed through to completion.
  • Supporting leadership meetings, team events and executive offsites.
  • Coordinating across departments and acting as a trusted point of contact for internal stakeholders.
  • Helping executives manage competing priorities and stay organized.
  • Supporting projects and broader Executive Assistant team initiatives.
  • Preparing communications, documents and other executive materials as required.
  • Identifying opportunities to improve administrative processes and ways of working.
  • Using technology and AI tools to work more effectively and efficiently.
  • Taking on increasing responsibility as your knowledge, confidence and relationships develop.

This is an environment where initiative will be noticed.
You won't be expected to know everything on day one, but you will be expected to ask thoughtful questions, learn quickly, take feedback on board and become increasingly independent over time.

Who – The Candidate

We're looking for someone with a solid foundation in executive or senior-level administrative support who is ready for the next stage of their development.
You may already be an Executive Assistant or Executive Coordinator, or perhaps you're an experienced administrative professional who has gradually taken on increasingly sophisticated executive support responsibilities.
We're interested in potential, mindset and how you operate, not simply the number of years you've held an EA title.
You will ideally bring:

  • Previous Executive Assistant, Executive Coordinator or senior administrative support experience.
  • Experience supporting senior leaders such as Directors, VPs or C-suite executives.
  • Strong calendar and meeting management experience.
  • Experience coordinating travel and expenses.
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Good judgment and discretion when handling confidential information.
  • The ability to manage multiple competing priorities.
  • Confidence interacting with different personalities and senior stakeholders.
  • Strong follow-through and a natural tendency to close the loop.
  • Comfort operating within a fast-moving and changing environment.
  • Proficiency with modern workplace and collaboration tools.
  • A genuine desire to learn, develop and take on greater responsibility.

AI & Technology
Our client is a highly technology-forward organization, and this extends to how its Executive Assistant team works.
You don't need to arrive as an AI expert.
What matters is that you're curious and willing to learn.
Perhaps you're already experimenting with tools such as Claude, ChatGPT, Copilot or other AI platforms to support areas such as research, communications, meeting preparation, travel planning or administrative workflows.
Or perhaps you haven't had significant exposure yet but are genuinely excited about the opportunity to learn.
Either way, we're looking for someone who sees technology as an opportunity to become a more effective EA and continually improve how they work.

Compensation & Benefits

The anticipated base salary for this opportunity is:
$85,000–$95,000 CAD + equity
Compensation within the range will depend on experience and qualifications.
