Office Manager/Bookkeeper

The Opportunity
Our client is seeking a highly organized, detail-oriented Office Manager to join a growing engineering and contracting organization. This is a hands-on role combining office administration, operations coordination, bookkeeping, accounting, and senior management support.
The successful candidate will take ownership of day-to-day office operations while supporting project teams, clients, vendors, and the accounting function. There is opportunity to grow into broader operational responsibilities.
Key Responsibilities
- Oversee day-to-day office administration, schedules, correspondence, records, and general operations.
- Act as a key liaison between senior management, Project Managers, clients, vendors, and subcontractors.
- Manage full-cycle AP/AR, bookkeeping, bank and credit card reconciliations, and financial records.
- Prepare Purchase Orders, client invoices, progress billings, and project-related documentation.
- Track project costs, including labour, materials, vendor/subcontractor invoices, and expenses.
- Support payroll administration, remittances, HST, WSIB, T4/T4A, T5018, and other required filings.
- Assist with budgeting, cash-flow monitoring, financial reporting, and project profitability tracking.
- Coordinate year-end working papers and liaise with the external accounting firm.
- Provide general HR and administrative support as required.
Qualifications
- 5+ years of experience in office management, bookkeeping, accounting administration, operations, or a similar role.
- Strong full-cycle bookkeeping and accounting experience.
- Experience with project accounting/job costing; construction, engineering, mechanical, or contracting experience is an asset.
- Strong proficiency with QuickBooks Desktop; Contractor Edition experience is preferred.
- Solid knowledge of AP, AR, payroll, reconciliations, HST, WSIB, and CRA requirements.
- Strong Microsoft Excel, Word, and Outlook skills.
- Highly organized, detail-oriented, and able to manage multiple priorities independently.
- Excellent communication skills and a professional approach when dealing with clients, vendors, subcontractors, and management.
- High level of discretion, integrity, and confidentiality.
