About the Role We are seeking a detail-oriented and driven Logistics Coordinator to join our team at our Burlington, Ontario warehouse.

This is a hands-on, on-site role that sits at the heart of our cross-border supply chain.

You will manage the full lifecycle of goods flowing from our manufacturing partners in China into Canada, and onward to customers in the United States — while ensuring full regulatory compliance, maximizing duty recovery, maintaining accurate inventory records, and producing invoices using Inflow Inventory software.

This role is ideal for someone who thrives in a fast-paced warehouse environment, has deep familiarity with US and Canadian customs processes, and understands the intricacies of duty drawback programs.

Key Responsibilities International Import & Export Operations • Coordinate importation of goods from China /Vietnam to Canada, including working with customs brokers, and carriers to ensure timely and compliant clearance and delivery.

  • • Prepare and review all import and import documentation including commercial invoices, packing lists, bills of lading, certificates of origin, and CFIA permits where applicable.
  • • Manage export of goods from Canada to the United States, and at times international, in accordance with CBSA export reporting requirements and U.S.

CBP entry requirements (including HTS classification and ISF filings).

  • • Ensure compliance with Canada Border Services Agency (CBSA), U.S.

Customs and Border Protection (CBP), CUSMA/USMCA trade agreement provisions, and any applicable trade sanctions or restrictions.

  • • Monitor tariff classifications (HS codes) for all products and ensure accurate duty and tax assessments on all cross-border shipments.
  • • Liaise with customs brokers to resolve holds, discrepancies, or examinations in a timely manner.
  • • Track all inbound and outbound shipments and proactively communicate status updates to internal stakeholders.

Duty Drawback Claims • Identify eligible shipments for duty drawback under the Canadian Customs Act and CBSA's Duty Drawback Program (including manufacturing, substitution, and unused goods drawbacks).

  • • Prepare and submit duty drawback claims to CBSA, ensuring all supporting documentation is accurate, complete, and submitted within legislated timeframes.
  • • Maintain meticulous records of imported goods, re-exported goods, and associated duties paid to support drawback claims and potential audits.
  • • Reconcile drawback refunds received against submitted claims and report any discrepancies.
  • • Stay current on changes to CBSA drawback regulations, policies, and claim procedures.

Inventory Management • Conduct regular physical inventory counts at the Burlington warehouse and reconcile results against system records.

  • • Maintain accurate stock levels in Inflow Inventory, including receiving new shipments, processing adjustments, and managing product locations within the warehouse.
  • • Investigate and resolve inventory discrepancies, damages, or shortages promptly.
  • • Coordinate with warehouse staff to ensure proper handling, labelling, and storage of imported goods.
  • • Generate inventory reports and provide visibility to management on stock levels, slow-moving items, and reorder points.

Invoicing & Documentation • Create accurate and timely customer invoices using Inflow Inventory software for all outbound shipments to U.S.

customers.

  • • Ensure invoices reflect correct product descriptions, quantities, pricing, and applicable export information required for U.S.

customs entry.

  • • Maintain organized records of all invoices, shipping documents, and correspondence for audit readiness.
  • • Coordinate with the finance team to reconcile invoiced amounts and resolve billing disputes.

General & Administrative • Maintain and organize all trade compliance records in accordance with CBSA's 7-year record retention requirement.

  • • Assist in the development and documentation of internal logistics procedures and SOPs.
  • • Support audits (internal or CBSA-initiated) by providing organized and complete documentation.
  • • Identify opportunities to reduce freight costs, improve transit times, and streamline customs processes.

Qualifications & Requirements Required • Minimum 2–4 years of experience in a logistics, trade compliance, or supply chain coordination role with direct exposure to China/Vietnam–Canada imports and Canada–USA exports.

  • • Working knowledge of CBSA processes, HS tariff classification, CUSMA/USMCA rules of origin, and Canadian import/export regulations.
  • • Hands-on experience filing or supporting duty drawback claims with CBSA.
  • • Proficiency with Inflow Inventory or a comparable inventory management system.
  • • Exceptional attention to detail and organizational skills — you will be managing large volumes of documentation with regulatory consequence.
  • • Ability to work on-site at our Burlington, Ontario warehouse, Monday through Friday.
  • • Must be legally authorized to work in Canada.
  • • Be in possession of Transportation of Dangerous Goods TDG Certification.

Preferred / Assets • Post-secondary education in Supply Chain Management, International Business, Customs Administration, or a related field.

  • • CIFFA certificate, CSCMP designation, or other recognized trade/logistics credential.
  • • Familiarity with CBSA's CARM portal and Release Prior to Payment (RPP) program.
  • • Experience working with freight forwarders on FCL/LCL ocean shipments from China.
  • • Excellent command the English Language.
