Description

Reporting to the Senior Vice President & Chief Technology Officer, the Senior Executive Assistant serves as a trusted partner to the CTO and Technology Leadership Team, providing executive support, strategic coordination, and leadership operations support. The successful candidate is highly organized, proactive, and resourceful, with exceptional communication skills and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities

Executive Support & Operations

• Manage calendars, travel arrangements, expenses, purchase orders, invoices, and other executive support activities.
• Coordinate leadership meetings, agendas, materials, logistics, and follow-up activities.
• Organize team events, planning sessions, leadership offsites, and special initiatives.
• Create, maintain, and consolidate reports, forecasts, dashboards, and other materials to support leadership decision-making.

Strategic Coordination & Leadership Team Support

• Serve as a central coordination point for Technology Leadership Team priorities, strategic and governance initiatives, and cross-functional activities.
• Track leadership action items, decisions, commitments, and key deliverables to ensure timely execution and follow-up.
• Support annual planning, budgeting, business reviews, and operational reporting activities.

Executive Communications

• Draft executive communications, leadership updates, executive summaries, and speaking notes by synthesizing information from multiple sources.
• Develop presentations and content for Board, executive, and leadership meetings.

AI & Productivity Enablement

• Leverage approved AI and productivity tools to support executive communications, presentations, reporting and meeting summaries
• Identify and recommend opportunities to enhance executive and team effectiveness through automation, emerging technologies, and productivity tools.
• Other duties as assigned.

Experience

• 5+ years of experience as an Executive Assistant, preferably in a fast-paced and dynamic environment.
• Strong proficiency with MS Office 365, including Word, Teams, Excel, PowerPoint, and Outlook, and SAP Ariba.
• Exceptional verbal and written communication skills.
• Strong interpersonal skills with the ability to collaborate across teams and with external partners.
• Strong business acumen, attention to detail, resourcefulness, and excellent problem-solving abilities.
• Critical thinking skills with the ability to make informed decisions independently.
• The ability to prioritize tasks effectively to manage multiple responsibilities simultaneously.
