We are currently looking for a professional, organized, and customer-focused Customer Service Representative to join our team.
Position Overview
The Customer Service Representative is often the first point of contact for our customers and plays an important role in creating a welcoming, professional, and helpful experience.
This position is responsible for assisting customers in person, over the phone, and by email, while coordinating appointments, maintaining accurate customer and repair information, communicating updates, processing documentation, and providing administrative support to the collision repair team.
The successful candidate will be highly organized, detail-oriented, comfortable managing several priorities at once, and able to communicate professionally with customers, insurance partners, rental agencies, technicians, estimators, and management.
Key Responsibilities
- Welcome customers and provide professional, friendly, and helpful service in person, by telephone, and by email.
- Respond to customer questions and explain the general collision repair and insurance claim process.
- Schedule vehicle estimates, repair appointments, drop-offs, and customer pick-ups.
- Create and maintain accurate customer, vehicle, insurance, and repair information within the shop’s management system.
- Receive and process SGI and other insurance assignments and supporting documentation.
- Prepare repair orders and ensure all required information, authorizations, photographs, and documentation are complete.
- Maintain detailed records of communication with customers, insurance representatives, rental companies, suppliers, and other partners.
- Provide customers with timely and professional updates regarding the status of their repairs.
- Coordinate rental vehicle arrangements and maintain accurate rental information.
- Communicate customer concerns, scheduling changes, and relevant repair information to estimators, technicians, and management.
- Process customer payments and provide invoices, receipts, warranty information, and related documentation.
- Assist with general office administration, filing, scanning, data entry, correspondence, and record management.
- Follow up with customers after repairs and assist in maintaining a high level of customer satisfaction.
- Protect confidential customer, insurance, and company information.
- Maintain a clean, organized, and professional reception and customer service area.
- Provide additional administrative and operational support as required.
Qualifications and Experience
- High school diploma or equivalent.
- Minimum of one year of customer service or administrative experience.
- Previous experience in an automotive, collision repair, insurance, dealership, or repair facility environment is considered a strong asset.
- Valid driver’s licence.
- Experience working with automotive repair management, estimating, or insurance software is considered an asset.

Work Environment
This position is primarily based in the front office and customer reception area of an active collision repair facility. The successful candidate must be comfortable working in a busy environment and communicating regularly with customers, insurance representatives, rental agencies, suppliers, technicians, estimators, and management.
