Role Description The Quotation and Project Administrator is a full-time, on-site position based in the Greater Toronto Area, Canada. This role is responsible for preparing and managing quotations for lighting projects, including reviewing project specifications, interpreting drawings, and assembling detailed pricing proposals. The administrator coordinates with sales representatives, suppliers, and customers to gather product information, confirm pricing, and ensure timely quote delivery. Day-to-day tasks include updating project records, tracking quote statuses, following up on outstanding proposals, and assisting with order entry once projects are awarded. The role also involves maintaining accurate documentation, supporting project timelines, and providing responsive communication both internally and externally.

Qualifications

Strong administrative and organizational skills, with the ability to manage multiple quotes and projects simultaneously and maintain accurate records.

Proficiency with office productivity tools (e.g., spreadsheets, accounting software).

Excellent attention to detail and numerical accuracy for reviewing specifications, preparing pricing, and verifying supplier information.

Clear written and verbal communication skills for collaborating with suppliers, and customers in a professional manner.

Ability to interpret basic technical information, such as lighting product descriptions, project drawings, and tender documents; experience in lighting or electrical supply is an asset.

Strong time management skills, including prioritizing tasks, meeting deadlines, and following up proactively on outstanding items.

Reliability, problem-solving ability, and a collaborative approach with peers.

Must have a minimum of 3 years of experience in the electrical and lighting industry.

Must have your own vehicle and a clean driving record.
