As a confidential position, the Executive Program Co-ordinator provides administrative and operational support to the CEO and Directors, handling highly sensitive organizational, financial, labour relations, and employee information.

The role supports senior leadership in strategic planning, workforce matters, and organizational decision-making, requiring strong discretion, judgment, and alignment with management priorities.

They are responsible for the overall coordination of the administrative functions of the Employment and Training Department, the Shelters and Clinical Services Department, Permanent Housing Department and the Girls, Youth and Family Programs Department and Inspirations Studio in accordance with the mission of YWCA Toronto and the needs of the participants, staff and volunteers.

KEY RESPONSIBILITIES Provides confidential administrative support Assists in developing and maintaining department annual work plans Co-ordinates annual program statistics and reports Assists with the preparation of proposals Supports labour relations activities, including documentation, correspondence, and tracking of employee matters Prepares sensitive reports and briefing materials for senior leadership and the Board Assists with preparing and monitoring program administration budgets, special project budgets and quarterly reports Maintains departmental financial records in accordance with the policies, procedures, and practice of the Association Prepares billing and payment requests for invoicing, purchase orders and payment requisitions as required Assists with the preparation of funding proposals and reports including the collection of data and information Undertakes special projects and research as assigned Schedules appointments, sets up meetings, books space, arranges for use of equipment as requested Responsible for maintenance of risk-management records such as incident reports, health and safety reports Develops and maintains a data collection process for tracking critical incidents, complaints and other program information, as required; analyzes data and produces reports, as required Ensures that the Health and Safety Guidelines are followed in accordance with the policies and procedures of YWCA Toronto Works directly with the public (e.g.

with sponsors, funders and clients) to assist with special projects related to promotion and business development, as required May be required to supervise volunteers, students, or seasonal staff Any other duties/special projects as required QUALIFICATIONS In-depth knowledge of the social services sector and communications expertise normally acquired through the completion of an undergraduate university degree in a relevant field (Cases for Equivalency will be considered); Advanced office administration skills 5 to 7 years directly related work experience Ability to maintain a high level of confidentiality and professionalism Strong judgment and discretion in supporting senior leadership Proven ability to write executive level correspondence, reports, briefing notes and other written material Expert level knowledge of current computer applications such as Microsoft Office, desktop publishing, database software, E-mail, and Internet in a Windows environment Demonstrated financial management skills Experience handling sensitive labour relations and employee information Experience in a unionized environment, including exposure to labour relations processes Ability to work under pressure, respond to changing priorities and function as a highly efficient assistant Ability to work in a diverse and multicultural environment Must possess a positive and friendly manner Exceptionally strong organizational skills Excellent interpersonal and oral communications skills Must demonstrate strong initiative and must be goal-oriented Knowledge of girls’, youth, women’s and gender-diverse services and the social service sector would be an asset Must be able to work directly with the public and funders, representing YWCA Toronto if necessary Please note: A vulnerable sector police reference check is required by the successful candidate prior to hiring.
