SUMMARY


A Coordinator, Warehouse’s primary role is to handle all day-to-day operational elements of our customer’s needs. Requires flexibility and adaptability to work extended hours to meet work demands. Requires ability to organize and prioritize activities to complete tasks and assignments with a high degree of independence, in a timely/efficient manner. Ability to perform with a high level of accuracy.
Ensure timely and accurate updates on customer movement of freight and information, while providing exceptional customer service within the Transportation Department. To anticipate, identify and rectify any exceptions and to keep internal stakeholders always informed. Committed to achieving Transportation targets in a timely fashion while focusing on continuous improvement.

KEY DUTIES AND RESPONSIBILITIES

• Reviews customer delivery requirement for delivery of freight
• Liaise with internal departments and clients
• Provides workflow priority to warehouse personnel
• Verifies and coordinates transit of freight to destination
• Update TMS and any Tracing tool of warehouse event statuses
• Confirm customs release status and credit hold release
• Dispatches freight to carriers and couriers
• Updates shipment dimension log
• Daily communication with transportation companies and couriers to ensure adequate equipment is available
• Processing of courier shipments and labeling
• Maintain returns tracking logs
• Follow-up on mis-delivered and refused/returned shipment. Drive final
• Receiving orders via email
• Process customer orders for internal and external small warehouse account
• Scheduling delivery appointments
• Maintain stock of warehouse supplies and consumables
• Various customer related and administrative duties as needed
• Prints and distributes documentation to relevant parties
• Maintain and promote professional communication with drivers, customers, and warehouse personnel
• Works independently to accomplish tasks within scope of job.
• Effectively and efficiently responding to internal stakeholders inquiries; resolving any conflicts or problems that might arise; etc.
• Ensuring all account correspondence maintained up to date, ensuring appropriate electronic copies are uploaded along with milestones.
• Milestones UPDATE in Real time environment.
• Liaise between carriers, internal partners and the warehouse operations teams
• Print freight bills, label and unload/load reports
• Follow-up on mis-deliveries
• Monitor carriers who are unresponsive and inform dispatchers and supervisor of escalated issues
• Update our transportation management system and customer websites of real time load locations
• Identify problems proactively and develop creative and efficient solutions
• Ability to prioritize loads based on importance and delivery date
• Communicate any modifications to Account Manager to update clients
• Build strong relationships with the carriers assigned through communication and ongoing monitoring of on time performance.
• Complete performance reports for all carrier related issues in a timely manner. Notify potential issues to the appropriate parties.
• Ensures that tracking meets established standards but will escalate for resolution as appropriate.
• Communicate any carrier issues that might impact operations.
• Working knowledge of transportation cargo claims, transportation laws and risk management
• Keep the Operations Team and Account Manager updated on significant issues.
• Maintaining the confidentiality of client information.
• Maintaining the integrity of shared work files on network system shared programs
• Meet KPI standards as per company guidelines.
• Support freight and cargo handling functions directly as required
• Other duties and assignments as required Quality, Health & Safety:
• Supports organizational commitment to ISO 9001, ISO 45001 certification
• Perform assigned tasks to support DSV meets its objectives and targets regarding quality, health, safety and environment and follow all requirements as set out in the DSV Quality Health Safety Environment policy.
• Staff are required to ensure that their day-to-day activities embrace sustainability, Health and safety therefore reducing the impact upon the environment, supporting the communities we work in and reducing incidents in the workplace.

QUALIFICATIONS

Education and Experience
• Minimum 1-2 years in transportation/logistics/distribution
• College Diploma / University Degree in Business, Logistics, or International Trade preferable
• CIFFA certificate, an asset
• Dangerous Goods Certification, an asset
• Certified counterbalance forklift operator

Language and Computer Skills
• Good command, both verbal and written, French and English skills.
• Ability to communicate effectively in a diverse multicultural environment.
• Microsoft Office suite
• Working knowledge of transportation management software i.e., Load Link, PC Miler, Cargowise, Truckmate, etc., would be an asset.

Physical Demands
• Prolonged periods sitting and standing at a desk and working on a computer
• Regular working hours apply for this position, at times, working beyond these hours may be required by business needs.
