Reporting directly to the Director of Student Affairs and Canada Executive Director, the University Registrar & Student Services Advisor (URSSA) provides comprehensive operational management for the Registrar's Office while also offering advisement and support to students regarding their academic progress. This role ensures compliance with provincial and federal regulations, upholds the integrity of student records, and delivers excellent customer service to students and faculty. Additionally, the URSSA proactively identifies and addresses student issues, facilitates degree audits and transcript evaluations, and collaborates across departments to foster student success.


Requirements


? Oversee all functions of the Office of the Registrar, including undergraduate and graduate programs at all locations

? Develop and enforce policies regarding admissions, records, transcript evaluation, transfer credits, and appeal resolution.

? Provide support services related to academic programs, degree requirements, course scheduling, enrollment, degree verification, graduation, and maintenance of student records.

? Manage technology applications and reporting within the department to enhance operational efficiency.

? Ensure data security, accuracy, and regulatory compliance (e.g., Freedom of Information and Protection of Privacy Act - FIPPA) while maximizing the functionality of student information systems.

? Analyze student data, generate reports, and respond to statistical information requests.

? Conduct one-on-one advising sessions with students to review academic progress, course selection, and overall well-being.

? Identify at-risk students based on academic performance and provide interventions such as course retakes, tutoring, and resource referrals.

? Initiate timely outreach to students regarding course deadlines, attendance, and university events.

? Conduct exit interviews and facilitate re-entry processes for students considering withdrawal.

? Serve as a liaison between students, faculty, academic leadership, and support services to ensure

student success.

? Maintain up-to-date student records, process transcript requests, and oversee electronic data exchange

between departments.

? Assist with compiling data for external audits and regulatory reporting.

? Plan and participate in university events that support student life, engagement, and success.

? Manage student data requests, handle legal inquiries, and monitor policy effectiveness to recommend updates as necessary.

? Provide guidance on academic advising, transfer credits, degree audits, and registration policies.

? Promote academic success through discipline, accountability, and proactive student engagement.

Knowledge, Skills, and Abilities Required:

? Minimum 5 years of experience as a Registrar in an academic setting.

? Strong knowledge of student information systems, reporting tools, and compliance regulations.

? Experience in academic advising and student support services.

? Exceptional communication, interpersonal, and problem-solving skills.

? Ability to analyze and interpret data for decision-making and policy development.

? Proven ability to collaborate effectively across departments and work with diverse student populations.

? Knowledge of international student programs and accreditation standards.

? Proficiency in MS Office Suite, Google Suite, and educational technology platforms.

? Ability to manage multiple responsibilities in a fast-paced environment.

? Experience in student retention strategies and interventions.

Q U A L I F I C A T I O N S

List the minimum requirements to be considered for this position:

? Bachelor’s Degree in Student Personnel Services, Higher Education, Educational Administration,

Business, or a related field required; Master’s preferred.

? 2-3 years of direct experience in academic advising or student support services preferred.

? Previous experience with online education platforms (e.g., Moodle, Blackboard) is a plus.
