Employment Type: Full-Time Regular

Number of in-office/on-site days: 2 days per week

Annual Salary Range: EXEMPT_02, MIN $78,000.00 - MED $91,500.00 - MAX $105,000.00

Placement in the salary range is determined by an assessment of knowledge, skills, experience and ability of the candidate to meet the key requirements of the job. In addition, our pay philosophy is to align with the median of the comparable market and to be considerate of internal equity comparisons.

In this role you will be asked to...

Provide high‑level executive and divisional coordination support to the Vice President, Strategy, Planning and Public Affairs, in a portfolio that includes corporate strategy, service planning, government relations, communications, marketing, revenue development, and stakeholder engagement.

This role operates in a dynamic, deadline‑driven environment, often managing multiple urgent deliverables at once—for example, supporting a Regional Transit Commission review while simultaneously coordinating Board materials and executive briefings.

You’ll play a key role in:

  • Reviewing documents for quality, accuracy, clarity, and alignment before they reach senior leaders, partners, or elected officials
  • Drafting and refining clear, well‑structured briefing notes, presentations, and executive correspondence
  • Coordinating meetings, calendars, logistics, and materials for executive, Board, Commission, and divisional activities
  • Supporting divisional communications and engagement activities, including newsletters, retreats, and internal updates
  • Managing records, finance tracking, purchasing, and administrative processes with precision and consistency

Be a passive administrator waiting for direction. This role requires someone who is proactive, anticipates needs, and is comfortable stepping in to improve processes, documentation, and ways of working.

  • A slower or highly routine pace. This environment requires comfort with urgency, frequent reprioritization, and tight turnaround times.
  • Purely social or event‑focused work. While engagement and coordination are part of the role, a significant portion involves detailed document review, logistics, and precision work.
  • Discomfort with structure and constraints. You’ll need to be creative and personable—but also able to “flip your brain” and work within firm timelines, governance requirements, and procedural boxes.
  • Union or governance support. The role includes supporting meetings and logistics that may not appeal to those who dislike structured events or formal processes.

  • Strong executive judgement and discretion in handling confidential and sensitive matters
  • Exceptional attention to detail, especially when reviewing documents, briefing notes, and presentations
  • Ability to manage multiple competing priorities while maintaining accuracy and professionalism
  • Technical confidence and curiosity, with interest in learning and applying new digital tools and AI‑enabled ways of working
  • Clear, confident written communication, with strong editing and proofreading skills
  • Organizational and coordination strength, supporting complex calendars, meetings, and deliverables
  • Comfort working with senior leaders, boards, commissions, and elected officials
