Primary Responsibilities
- Greet clients and visitors in a professional, welcoming manner and manage front-desk operations
- Answer and direct incoming phone calls, emails, and general inquiries
- Schedule appointments, meetings, and boardrooms; coordinate calendars as needed
- Maintain reception area and meeting rooms to ensure a polished client experience
- Assist the Office Manager with administrative and clerical tasks
- Prepare, organize, and maintain electronic files
- Support data entry and upkeep of internal systems (e.g., client intake information)
- Support firm-wide administrative projects as assigned
- Handle incoming and outgoing mail, courier deliveries, and document scanning
- Coordinate ordering and set up of staff lunches
- Maintain confidentiality and professionalism when handling sensitive information
Qualifications
Experience :Previous experience in reception, customer service, or administrative roles, preferably in a legal or professional office environment
Technical Skills :Strong communication skills (both verbal and written) to greet clients, answer phones, and handle correspondence professionally
Organizational skills to manage schedules, appointments, and filing systems efficientlyBasic knowledge of legal terminology and procedures (helpful but often can be learned on the job)Computer proficiency with office software (Microsoft Office and Clio)Ability to handle multi-line phone systems and direct calls properlyAttention to detail for managing documents, client information, and messagesCore Competencies :Excellent communication skills with a clear, professional, and polite approach
