Job OpeningaLocation :Expected Start Date :Full Time :Permanent :Posting End Date :Job Description :Commemoration & Community Engagement Liaison - Administrative Assistant 2 (AESES)New Budget-Funded Project Full-Time 35.00 hours/week Monday to Friday 8:30 am - 4:30 pmSalary Range: $28.33 - $39.93 per hour ($51,560.60 - $72,672.60 per annum)Proposed Start Date: June 10, 2024Proposed End Date: December 10, 2025Trial/Probation Period: 840.00 work hours For more information, please contact:Trinity Tomm177 Dysart Rd, Winnipeg MB R3T 2N2431-323-7790 or @ :- Contributes to the submission of reports on all up-to-date developments and activities in relation to Call to Action 79 iii through the NCTR, to the University of Manitoba and Parks Canada. - Works in collaboration with Indigenous communities and Residential School Survivors to support and develop, plan and coordinate all community engagement initiatives including up to 14 commemoration gatherings/ceremonies across Canada to support Call to Action 79.3 with the needs and requirements of the NCTR, Parks Canada and the Indigenous community.- Provide timely community-focused information to communities regarding policy and developments in programs to support commemoration activities. - Works in collaboration with the Director of Communications to develop outreach materials and is responsible for all public relations matters related to Call to Action 79.3. - Work closely with NCTR colleagues to assist in the development and distribution of information products to better assist community led commemoration activities. - Work closely with NCTR colleagues to facilitate information flow to communities on how to access materials and foster the development of Community Narratives and community-based initiatives. - Develop and maintain respectful relationships with Government of Canada officials from Parks Canada, but occasionally other federal departments such as Canadian Heritage and Crown-Indigenous Relations, to facilitate information flow, program development and synergistic commemoration activities. - Provide advice to NCTR Senior leadership to develop and enhance strategies to better support Community led initiatives surrounding residential schools commemoration. - In Collaboration with the Intergovernmental and Community Relations liaison, conducts outreach sessions to communities including attending community gatherings and conferences where applicable. - Monitor, track and stay informed on means to access health supports, and additional funding opportunities as they relate to commemoration activities and events. - Conduct all of the work to the highest of ethical, technical and administrative excellence while paying close and specific attention to the expectations of Inuit, Metis and First Nations peoples, Survivors, and community aspirations/rights in the area of residential schools commemoration.- Negotiating agreements with external contractors and suppliers. - Travel as required to urban and remote Indigenous communities by commercial/private plane and/or vehicle.- Works closely with the Regional Advisory Circle by scheduling meetings to review applications for the Na-mi-quai-ni-mak (I remember them) Community Support Fund while ensuring they adhere to the Contribution Agreement with Parks Canada.- Maintaining records of incoming, approved, or denied applications for the Na-mi-quai-ni-mak (I remember them) Community Support Fund and providing reports to the Executive Director for funding approval.- Monitor budgets for Community Engagement Sessions, Commemoration Gatherings, and other special events under the guidance of the Director of Finance and Contracts.- Monitor, track, and maintain records of compensation and reimbursement for Regional Advisory Circle members and other external stakeholders. - Work closely with approved applicants for the Na-mi-quai-ni-mak (I remember them) Community Support Fund by ensuring they receive funds for their commemorations or gatherings in a timely matter. - Manage the coordination of Ceremonial Gatherings - provide any aspect of support that is required.- Manage the coordination of Commemoration Gatherings/Events. - Participate in the set-up and take-down of events of the NCTR. - Managing the logistical planning for all events.- Assist the Intergovernmental & Community Relations Liaison in relation to large event planning, submission of lobbying report to government.- Other duties as :THIS POSITION IS DESIGNATED FOR INDIGENOUS CANDIDATES. APPLICANTS MUST SELF-DECLARE ON THEIR COVER LETTER/RESUME AS INDIGENOUS (FIRST NATION, METIS AND/OR INUIT). MINIMUM FORMAL EDUCATION/TRAINING:- Undergraduate degree in a related discipline is required. EXPERIENCE:- Two years of directly related experience in a complex environment is required. I.e. Government agency, university, large non-profit, tribal, indigenous or corporate organization.- Experience working directly with a Director or Senior Staff level is required.- Experience in writing high-level communications, reports and briefing notes for Senior Leadership and Federal or Provincial Government and funding agencies is required.- Experience in forecasting and the financial management of budgets is required.- Experience in event planning and execution to completion is required.- Experience in hiring staff and contractors is required. - Proven experience with Indigenous organizations, survivors, elders and diverse communities is is required.- Experience with the operation of post-secondary institutions is required.- Knowledge of and sensitivity to Indigenous cultures is required..- An acceptable equivalent combination of education and experience may be considered. SKILLS AND ABILITIES:- Must have excellent verbal and written communication skills and be able to work effectively with students, staff, faculty, Elders, alumni, Indigenous communities, community organizations, and the public.- Must possess a demonstrated ability to work independently and accurately under pressure.- Must have exceptional decision-making and interpersonal skills including diplomacy and tact.-Must have a strong work ethic and be willing to take the initiative to solve problems and learn new tasks.- Strong attention to detail is required.- Must have excellent organizational and time management skills.- Must be proficient with Microsoft Office and using intermediate features associated with a Windows computer environment including: database/spreadsheet management, calendar software, and mail software.- Proficient in multi-tasking in order to meet competing deadlines is required.- Cultural sensitivity; open-mindedness; flexibility is required.- Must have a demonstrated ability to deal with high demand and/or stressful contacts.- Independence, diplomacy, self-motivation, confidentiality and ability to work with many types of individuals in sensitive environments is required- Ability to perform efficiently under changing and heavy workloads is required.- High energy level and a positive attitude, enjoy challenges, and cope well with frequent change is required.- High degree of analytical thinking preferred.- Problem solving and conflict resolution skills preferred.- Experience working with VIP, FAST, Epic, and Concur is preferred.- Public speaking skills are an asset.
