Antec Appraisal Group is a leading provider of independent, professional real estate valuation, appraisal and consulting services for the GTA region, KW region, Hamilton and Southeast Ontario regions. We are committed to providing our clients with experienced and expert valuation opinions that assist them with financing, acquisition, investment and general market information purposes.  Our team is currently looking for a full-time Office Administrator position in our Toronto office. This position will report into the Managing Partner(s) and the Office Manager and will play an integral role in structure and organization of the company. We’re looking for someone with a passion for organization and process as well as strong attention to detail. This role will be responsible for generating and compiling reports and correspondence as assigned, providing services supporting the provision of information to senior executives and, external clients. Tasks involved :

  • General administrative tasks as assigned
  • Prepare correspondence including quotes and appraisal requisitions
  • Assist appraisers in preparing appraisal reports
  • Maintain organized records of appraisal assignments, property data, and client information
  • Ensure all documentation adheres to industry regulations, such as USPAP (Uniform Standards of Professional Appraisal Practice)
  • Real estate related research and data collection
  • Research and analyze market transaction activity
  • Prepare tables and charts for appraisal reports
  • Manage scheduling, appointment setting, and coordination of property inspections for appraisers
  • Handle incoming client inquiries, emails, and phone calls in a professional manner
  • Maintain office supplies, databases, and software related to appraisal processes
  • Work closely with appraisers to meet deadlines and resolve any administrative issues
  • Provide exceptional client service by responding promptly to inquiries and follow-ups
  • General administrative tasks as assigned
  • Other duties as assigned Qualifications :
  • Minimum 2 years working experience in general office administration
  • High level of initiative and the ability to multi-task
  • Ability to work both independently and as a part of a team
  • Outstanding communication skills (written and verbal)
  • Strong time management capabilities
  • Strong analytical skills and attention to detail
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
  • Familiarity with appraisal management software (e.g., TREB, MPAC or comparable systems) is a plus
  • Ability to research property data through public records, various regions of City Official Plans and Zoning Bylaws
  • Basic understanding of commercial real estate terminology and appraisal processes
  • Previous experience working with Salesforce would be an asset Skills and Abilities :
  • Administrative assistant / office related experience
  • Strong attention to details
  • Passion for organization and processes
  • Excellent verbal and written communication skills to interact with clients, lenders, and real estate professionals
  • Proficient in drafting, proofreading, and formatting appraisal reports, proposals, and correspondence
  • Education in a related disciple would be helpful (Real Estate Program, Business, Commerce)
  • Ability to handle confidential information with discretion
