Salary : POSITION SUMMARY
The Building Operator supports the daily operations of commercial properties by overseeing building systems, coordinating contractors, and ensuring that all scheduled maintenance, inspections, and repairs are completed correctly, documented thoroughly, and kept within budget. This role emphasizes oversight, planning, documentation, scope-of-work management, and cost control. The Building Operator ensures buildings operate safely, efficiently, and in compliance with all regulatory requirements while delivering excellent service to tenants and stakeholders.
DAILY OPERATIONS
- Conduct daily building and mechanical room inspections, documenting all findings.
- Monitor BAS / BMS systems for alarms, comfort levels, and efficiency; escalate issues to contractors as required.
- Respond promptly to tenant service requests by assessing needs, engaging contractors, and tracking completion.
- Maintain accurate daily logs of building conditions, readings, and operational notes.
- Ensure mechanical, electrical, and service areas remain clean, safe, and organized.
- And other duties as assigned.
CONTRACTOR & VENDOR OVERSIGHT (PRIMARY FUNCTION)
Schedule, coordinate, and supervise all contracted maintenance and repair work.Review and fully understand scopes of work (SOW) for all contractor activities, ensuring clarity of expectations and adherence to required standards.Confirm that contractor performance aligns with the approved SOW, timelines, and safety requirements.Review and verify quality of completed work, documenting all findings.Maintain organized, complete records including service reports, inspection certificates, proposals, quotes, and SOW documentation.Assist with obtaining and evaluating competitive bids to ensure services align with cost and scope expectations.PRVENTATIVE MAINTENANCE COORDINATION
Maintain preventive maintenance schedules and ensure all tasks are completed by contractors on time.Review PM reports for completeness, accuracy, and recommended corrective actions.Track recurring issues, aging equipment, and potential capital replacement needs.BUDGETING, COST CONTROL & INVOICE PROCESSING
Monitor operational spending and ensure work stays within approved budgets.Issue purchase orders (POs) for contractor services, repairs, and operational supplies, ensuring proper coding.Process invoices in the companys accounting system, confirming accuracy, coding, supporting documentation, and completion of work.Verify completed work against the approved scope of work (SOW) before approving POs or invoices.Maintain cost logs and support monthly / quarterly expense reporting.Assist with annual operating budgets and reforecasting based on historical costs and projected needs.RECORD KEEPING & DOCUMENTATION (CRITICAL FUNCTION)
Maintain comprehensive and organized records for preventive maintenance, daily logs, contractor service reports, inspection documents, quotes, proposals, invoices, and SOWs.Ensure all documentation is properly uploaded to Teams, SharePoint, or designated internal systems.SYSMTEM MONITORING & REPORTING
Monitor building systems for abnormalities, performance trends, and potential failures.Provide regular updates to the Property Manager regarding system status, contractor activity, and operational priorities.LIFE SAFETY & COMPLIANCE
Coordinate contractors for all required life-safety inspections, repairs, and testing.Ensure all regulatory documentation is complete, accurate, and stored correctly.Support compliance audits and ensure adherence to applicable codes and standards.GENERAL SUPPORT
Perform minor non-technical duties such as replacing ceiling tiles or adjusting door closers.Coordinate after-hours contractor access and emergency response as needed.Participate in a three-week on-call rotation.HEALTH, SAFETY & OHS RESPONSIBILITIES
Ensure compliance with Occupational Health & Safety (OHS) standards and participate in safety meetings and hazard assessments.Identify, report, and document hazards, near-misses, and incidents promptly.Support safe work practices for all contractors and staff.EMERGENCY PREPAREDNESS
Assist in maintaining and implementing the buildings Emergency Response Plan.Participate in fire drills, evacuation procedures, and incident investigations.Provide support during emergencies until additional help arrives.TENNANT RELATIONS
Maintain positive relationships with tenants and communicate effectively regarding maintenance activities.Deliver excellent customer service and address concerns professionally and promptly.TECHNOLOGY & SYSTEMS
Use internal software platforms such as work order systems, contractor portals, and any additional company software.Maintain digital documentation using Teams, SharePoint, and other company systems.PHYSICAL REQUIREMENTS
Ability to lift up to 50 lbs occasionally.Ability to climb ladders, access roofs, and work in mechanical spaces.Ability to respond quickly to building emergencies, including after-hours situations.ROLE EXPECTIONS & WORKING CONDITIONS
To meet the demands of this role, we are seeking an enthusiastic, energetic, and extremely organized selfstarter. The ideal candidate will have strong knowledge of building systems. They will be comfortable with administrative duties such as reviewing scopes of work, issuing POs, processing invoices in the accounting system, and assisting in preparations of budgets and reforecasts. Flexibility is required for out-of-town travel and overtime.
QUALIFICATIONS
5th Class Power Engineering Classification.Ten (10) + years experience in a similar role within building operations or commercial property management.Strong conceptual understanding of HVAC, electrical, plumbing, and life-safety systems.Experience reviewing and interpreting scopes of work (SOWs).Experience managing complex projects.Experience issuing POs and processing invoices in an accounting system.Clean drivers abstract and reliable vehicle.Exceptional attention to detail and strong documentation skills.Proficiency with BAS / BMS systems and Microsoft Office / Teams / SharePoint.Strong communication and customer service skills.Experience in commercial real estate or multi-building portfolios.Training or coursework in building operations, facility management, or related subjects.Knowledge of energy efficiency, sustainability, or performance optimization practices.WHY MANCAL PROPERTIES INC. :
