MTE Program Assistant

Location :   Rupertsland Institute Central Office, Edmonton, AB

Closing Date : December 1, 2024, or Until Suitable Candidate Found

Position Status : Full Time (40 hours / week), 1 Year Contract with Possibility of Becoming Permanent

The Opportunity

Rupertsland Institute (RLI) is recruiting for a Program Assistant to support our METI-Services MTE Team in the Central Office. The Program Assistant (PA) is responsible for reviewing MTE client applications for accuracy and completeness, entering all relevant information into Financial Data Manager (FDM), processing invoices and following up on FDM scheduled payments, preparing documentation, and providing administrative and operational support to the MTE Central Team.

Responsibilities :

  • Create Excel spreadsheets for each fiscal year that includes all carry over funded students from the previous fiscal, new students, approved applications, and amendments for the new fiscal year.
  • Review all MTE client applications to ensure all information is complete and correct.
  • Enter new client information / student amounts such as income support and tuition / fees / books into FDM.
  • Prepare approval documents for students and Advisors.
  • Prepare overpayment letters.
  • Prepare amendments for client contracts as required, and ensure data is correct and matches FDM.
  • Process invoices for tuition, books, and fees. Enter actual amounts into FDM for payment.
  • Enter reimbursement payments, refunds, and returned overpayments into FDM.
  • Review FDM YTD financials at the halfway point of each semester to identify which schools have not provided invoices; complete a list of students needing invoices and forward to the school.
  • Complete and purge / archive client files as per the RLI procedures.
  • Assist in other areas of the Central office, such as answering phones and assisting the Central Manager or Senior Consultant of Client Services (SCCS), when needed.
  • In collaboration with the Central team, assist in the regional planning sessions for the next fiscal year projects.
  • Willingness and ability to work evenings and weekends for RLI events and other activities.
  • Willingness and ability to travel, as required.
  • Other duties as required.

Education and Experience :

  • Diploma or certificate in Office / Business Administration, or Accounting.
  • Minimum of three years related experience.
  • Minimum of three (3) years customer service experience.
  • Strong mathematical aptitude or financial training.
  • Experience in a non profit and Indigenous organization are assets.
  • Skills and Qualifications :

  • Knowledge of Métis history, culture, and people, is an asset.
  • Strong cultural and political sensitivity and awareness.
  • Strong interpersonal skills, professionalism, and a positive attitude.
  • Ability to build relationships with coworkers and community members.
  • Ability to work independently as well as part of a team.
  • Strong sense of ethics and the ability to handle and maintain confidentiality for sensitive or private information.
  • Strong verbal and written communication skills.
  • Ability to thrive in a dynamic, fast-paced environment and be adaptable and flexible to changing priorities ; ability to handle multiple tasks and projects concurrently.
  • Strong writing skills with the ability to write and prepare clear, concise written documents.
  • High attention to detail.
  • Strong organizational and time management skills.
  • Proficient in Office software including Excel, Word, Outlook, Teams, and SharePoint.
  • Willing to learn new software programs.
