Salary Range : $60,618 - $82,438 per year

Hours of Work : 36.25 per week

The Finance, Procurement and Logistics division is seeking a highly organized and motivated individual to provide administrative, technical and project support to the Manager, Facilities & Logistics and the Project Supervisor with the preparation and delivery of electoral and referenda events within our Scarborough location.

What to expect in this role :

Reporting to the Manager, Facilities & Logistics you will :

  • Coordinate daily with suppliers to obtain quotes, update vendor information, process proofs, receive products and conduct spot-checks.
  • Assist in developing business requirements for Request for Proposals (RFPs) / Request for Proposals (RFQs).
  • Prepare materials for outsourced printing / production and liaise with external contractors to track job progress.
  • Manage receiving activities and prepare invoices for approval and payment.
  • Support projects through timeline tracking, quality control, budget monitoring, workflow mapping, and database maintenance.
  • Actively participate in divisional project management meetings and project teams and provide input and feedback to advance the completion of projects and assignments.
  • Document and maintain divisional workflows and procedures for manuals, forms, and support tools.
  • Coordinate the preparation and administration of materials / reports / documentations, research background information and compile information / data for easy access and retrieval. Compile and maintain up-to-date stakeholder databases / information.
  • Using prescribed software, provide word processing, proofreading support for the production of a variety of documents including general correspondence / forms.
  • Assist with the creation and delivery of presentations to internal clients for assigned projects.
  • Maintain up-to-date knowledge of operational policies, procedures, and Returning Officer Support Network processes.

What you need to qualify :

  • Demonstrated proficiency with MS Office Suite, specifically MS Access, and a variety of computer programs, including word processing, spreadsheet, presentation, acquisition management and project management software.
  • Experience working within project teams.
  • Demonstrated editing and proofreading skills to identify grammar, punctuation and spelling errors and other inconsistencies.
  • Excellent interpersonal and oral communication skills.
  • Strong organizational skills to enable effective management of multiple, shifting priorities.
  • Demonstrated experience to troubleshoot issue with clients over the phone in a professional and friendly manner.
  • Demonstrated experience to identify / implement process improvements.
  • Excellent analytical and problem-solving skills and ability to pay close attention to detail and adhere to strict deadlines.
  • Demonstrated ability to perform in a busy, changing, multi-tasking work environment.
  • Demonstrated ability to work independently and within teams.
  • Must be legally entitled to work in Canada.
  • The successful candidate must be able to work in-office five (5) days per week. There is no hybrid opportunity.
