Job DescriptionWe are looking for a highly organized and detail-oriented Office & Accounting Administrator to join the CIE Property Management & Consulting team!
This is a foundational role perfect for an entry-level professional with 1-3 years experience who thrives in a "heavy admin" role. Whether you are looking for a steady three-day work week or prefer to spread your hours across five dates to balance other commitments, this position offers the flexibility to make it work for the right candidate.
The ideal candidate is reliable, methodical, and possesses a high level of professional integrity. While training will be provided, a background in basic accounting or legal/paralegal work is considered a significant asset.
Salary:
$20.00 - $25.00 per hour
Work Schedule & Flexibility
- Hours: 22.5 hours a week. (Equivalent to three 7.5-hour days)
- Flexibility: You can work 3 full days or spread the 22.5 hours across 5 days to meet personal commitments.
- Setting: While a presence in the office is preferred, flexibility to work remotely is available once established.
Responsibilities:
- Accounting Support: Perform daily journal entries, bank reconciliations, and assist with basic bookkeeping tasks.
- Audit Coordination: Support the team in coordinating audits, ensuring all necessary documentation is organized and accessible.
- Compliance & Documentation: Manage condo forms, formal requests, and board package compiling with 100% accuracy.
- General Administration: Maintain office organization, handle heavy administrative filing, and ensure all compliance standards are met.
- Reporting: Assist in the preparation of internal reports and administrative packages.
- Customer Service: Create owner correspondence, answer phone calls, and respond to general inquiries.
- Attend and/or take minutes at Board meetings and Annual General Meetings, both in person and virtually.
- Manage meeting schedules and calendar, while tracking ongoing projects.
- Coordinate owner and manager requests, supply needs and maintenance schedules.
- Creation of posters and newsletters, as well as other information material as needed.
- Other duties as required.
Requirements
- Experience: Entry-level to 5 years of experience in an administrative or accounting role.
- Education: Background as a Paralegal, Legal Administration, or Accounting is a strong asset, but not required.
- Skills: Exceptional attention to detail and strong organizational skills are non-negotiable.
- Reliability: A proven track record of being dependable and consistent.
- Tech Savvy: Ability to learn new software and manage digital filing systems efficiently.
