A candidate forthis position should be a motivated and driven administrative professional witha high attention to detail, who enjoys maintaining a very organized workenvironment and have well developed time management skills.

Reporting to the SeniorFinancial Coordinator, Financial Admin Support Team (FAST) this positionprovides support by coordinating with researchers, colleagues, and other internalstakeholders to capture pertinent research proposal and project data for NAIT’sdatabase. They will be responsible for updating the database and maintainingdata integrity to ensure an initiative is set up for success from the initialproposal development stage through to the award decision stage. This positionis critical in supporting the successful growth of NAIT’s Industry Solutions.

KeyResponsibilities :

Supportactivities include assisting the Research Proposal Administrator with :

Adding andupdating proposal information in the database including status updates, funderand partnering organization details, agreement details, and budget information

Documentingproject amendments such as changes in start / end dates, invoicing details,budget increases / decreases, addition / removal of partnering companies, etc.

Adding new fundingprogram records and new funder, partner, and collaborator records to thedatabase by searching program or company details online and confirming entrieswith other internal departments to ensure data integrity across NAIT

Working with otherdepartments to track both applied research projects and technical serviceprojects in Microsoft Excel spreadsheets

Communicating withFinancial Coordinators and Financial Administrators when a proposal is awardedto help facilitate project set-up

Managing a sharedMicrosoft Outlook inbox for all incoming proposal developments, submissions,and award decisions

Using MicrosoftSharepoint to electronically save and organize important documents andconversations pertaining to pre-awarded proposal and awarded projects (i.e.forms, financial budgets, risk assessments, approvals, emails, agreements,amendments, reporting templates, etc.)

Communicating withcolleagues and other departments to seek clarity and / or missing documents andinformation while keeping records in the database of ongoing discussions andcomplications

Pulling raw datafrom the database to prepare metrics reports for internal and externalstakeholders, frequently on an ad hoc basis

Update / Test newdatabase queries

Updating the StandardOperating Procedures (SOPs) with current best practices

Participating inspecial projects as assigned

Activelysupporting improvements and procedures within the department

Skills& Abilities :

A strong customerservice focus, excellent interpersonal and communication skills, and theability to work in a fast-paced environment

Highly organizedand responsive, keen attention to detail

Strong analytical problem-solvingskills

Ability to workunder pressure and meet deadlines

Strongmulti-tasking skills and ability to manage several ongoing projects at once

Intermediate toadvanced level experience with Microsoft Excel

Can workindependently with excellent time management skills

Excellentdocumentation and note taking skills

Qualifications :

Related post-secondary diploma or degree

1-3 years of related experience

PeopleSoft Finance software experience and Database Managementexperience would be an asset

Salesforce and Workday software experience would be an asset

Microsoft Power Platform (Power BI and Power Automate) experiencewould be an asset

Applicants witheducation credentials earned outside of Canada should have their credentialsevaluated by World Education Services or the International QualificationsAssessment Service (IQAS).

Remuneration :  $44,256.94- $57,140.72 annually, plus a comprehensive benefits package. Willcommensurate with education and experience. (Classification – Administrative Support IV).

Thisposition is covered by the Alberta Union of Provincial Employees (AUPE)Collective Agreement.
