This Opportunity

The Toronto office of Smith + Andersen is currently seeking a motivated and proactive Business Development Administrator  to join its shared services team. Reporting to the Director of Operations and the Manager of Business Development and Proposals, the Business Development (BD) Administrator provides both tactical and administrative support to the Business Development and Proposals (BDP) team. The BD Administrator is responsible for bid searching and tracking prospective projects across regions.

What You'll Do

  • Work closely with the Director of Operations and the Business Development and Proposal Manager to track and maintain data, processes and business development outcomes.
  • Provide backup administrative support for daily bid searches nationally. Research bids on sourcing websites (i.e., Merx, Biddingo, etc.) and determine opportunities for each Smith + Andersen office based on specific requirements, deadline, scope, budget, key deliverables, etc. Review Requests for Expression of Interest (EOIs), Request for Qualifications (RFQs) and Requests for Proposal (RFPs) determining requirements for successful proposal submission.
  • Maintain a filing system for storing opportunities in accordance with internal protocols.
  • Maintain accurate, up-to-date records in the internal tracking system. Enter research findings on prospects and ensure client / prospect interactions as well as BD focus clients’ wins / losses are reported. Generate reports for Smith + Andersen (S+A) offices on prospects, proposals and any other relevant information maintained in the internal tracking system.
  • Keep abreast of industry events, coordinating attendance by sector / region and identify speaking opportunities in collaboration with the Marketing & Communications team.
  • Participate in BD meetings to track standard Prospects, intel on prospects, events and client prioritization lists. Conduct research and collect information as required.
  • Assist with updating material in sales brochures, and customizing information in brochures as requested by internal and external clients.
  • Update and maintain internal database of supporting required for BDP submissions.
  • Liaise with BDP team members to obtain and exchange information as required.
  • Collaborate with the team to offer suggestions to improve department procedures and processes.
  • Perform additional assignments related to business development as directed.
  • Who You Are

  • A post-secondary degree or diploma in Business or Office Administration or equivalent industry experience.
  • Proficiency with Microsoft Office suite and working knowledge of Adobe Creative Cloud.
  • 1-2 years of experience within an engineering, construction or architectural firm considered an asset.
  • Experience conducting online bid searches (i.e., Merx, Biddigo, etc.) for the engineering, construction or design services industry preferred.
  • Excellent written and verbal communication skills.
  • Highly innovative with an attention to detail and an ability to accept direction.
  • Able to work independently as well as part of a team.
